Job Responsibilities

  • Order Execution & Management :
  • Responsible for issuing purchase orders (POs) based on purchase requisitions (PRs). Track shipments, logistics, and delivery status to ensure materials are delivered on time and in correct quantities.
  • Supplier Communication & Coordination :
  • Act as the daily point of contact with suppliers to confirm basic information such as pricing, lead times, and Minimum Order Quantities (MOQs). Handle incoming material discrepancies (e.g., quantity shortages, quality defects) and coordinate returns or replacements.
  • Contract & Document Management:
  • Responsible for the archiving and ledger maintenance of purchase contracts, quotations, and supplier qualification documents, ensuring all records are complete and traceable.
  • Data Entry & Reconciliation :
  • Responsible for data entry and maintenance in the procurement module of the ERP system. Periodically reconcile Accounts Payable (AP) with the Finance Department and suppliers, and follow up on invoicing and payment progress.
  • Inventory Monitoring :
  • Assist supervisors in monitoring warehouse inventory levels, and issue timely replenishment alerts for materials that fall below safety stock limits.
  • Market Information Collection :
  • Assist in collecting market price fluctuation data for bulk raw materials or key auxiliary materials to provide baseline data supporting cost reduction initiatives.
  • Cross-departmental Collaboration :
  • Collaborate with the Quality and Warehousing departments to ensure smooth incoming quality control (IQC) and warehouse receiving handovers.

Job Requirements

  • Education: College degree or above; majors in Logistics Management, Supply Chain Management, International Trade, Accounting, or related fields are preferred.
  • Systems & Software: Proficient in Microsoft Office; hands-on experience with mainstream ERP systems such as Kingdee or SAP is highly preferred.
  • Skills: Strong communication, interpersonal, and negotiation skills.
  • Attributes: Detail-oriented, highly analytical with a strong sensitivity to numbers, and capable of working effectively under pressure.
