About the Role
As the Administrative Assistant, you will be instrumental in optimizing productivity, efficiency, and providing exceptional customer service to both internal processes and external clients. Your primary responsibility will be to provide support to Adam Baker, including managing call lists and emails, coordinating calendars, and overseeing CRM activities. We are looking for a candidate who excels in a fast-paced environment, highly detail oriented, possesses a proactive mindset, and has a solid understanding of the real estate industry or desire to learn. Responsibilities
Communication & Organization
Manage shared business phone (e.g., answering questions, message taking, recording new lead information)
Manage daily call list for client communication
Manage calendar to arrange and confirm all team, client, vendor and supplier appointments and deadlines
Call and confirm visits and showing schedules with clients
Communicate with agent regarding upcoming appointments and alert to urgent email or client communication needs
Customer Relationship Management
Actively maintain contact database with personal information (e.g., addresses, birthdays, anniversaries, personal notes)
Collect ‘All About You’ intake forms for new clients
Manage lead tracker and all engagement trackers
Past Clients Program (Creation and Implementation)
Facilitate and manage ‘touch’ emails, mailers, deliveries, holiday cards
Drive active engagement and referral pipeline
Coordinate post close calls one week, three months, etc.
General Administration & Strategic Input
Prepare Listing Presentation Materials
Prepare Buyer Presentation Materials
Participate in 30, 60, 90-day planning initiatives
Always be thinking and looking for new ways to drive success for the team
Research continuing education ideas for continued development of personal and team goals
Knowledge & Skills Required
Excellent verbal and written communication skills
High energy, positive attitude, and strong motivation
Demonstrated ability to be well-organized, responsible, and adept at problem-solving
Agility in determining and managing priorities effectively
Strong creative thinking and attention to detail
Proficiency in MS Office applications, including Word and Excel
Preferred: 1-2 years of administrative or events management experience
Preferred: Familiarity with CRM systems

Pay: $55,000.00 – $65,000.00 per year
