Position Summary:
We are seeking a dedicated and friendly Office Administrator to join our well-established pool service company. Reporting to the Branch Manager, the ideal candidate will be responsible for handling incoming communications, general clerical work, inventory & database maintenance and, at times, resolving customer issues in a professional and empathetic manner. Our ideal candidate will have a high level of attention to detail and organizational skills.
Key Responsibilities:
· Working a 8:00am-5:00pm Mondy-Friday schedule with hour lunch. Requirements to work two Saturdays per month during busy season 8:00am-1:00pm.
· Inbound communications, including being first to answer incoming phone traffic, emails and chats.
· General filing.
· Preparing handwritten Inventory forms for posting in the computer.
· Posting inventory transactions to our systems.
· Clerical duties and maintenance related to files and systems.
· Maintaining the Sales Lead System, both hard copies and database.
· Research and special projects for other company employees.
· A backup to resolve customer complaints and issues efficiently and courteously.
· Identify and escalate priority issues to the appropriate departments.
· Proficient in using inventory and customer service software and tools
· ​Strong problem-solving abilities and attention to detail
· Any other general office tasks required by the company.
Required Qualifications:
· High school diploma or equivalent
· 2+ years experience in office setting, preferably with a service company
· Familiarity with Microsoft Office programs
· Data Entry experience
· Strong attention to detail and a team-first attitude
· Dependable and punctual, with a positive and professional demeanor
Preferred Qualifications:
· Experience with pool maintenance industry
· Familiarity with inventory, database and/or ERP systems

Benefits
Hourly rate of $17-$20, dependent on experience. Time and a half for overtime.
