SUMMARY: The full-time Administrative Assistant for the Property Management Department will assist the Environmental Engineer with answering incoming calls, scheduling AHERA inspections, filing proper paperwork with parishes and schools, and coordinating reinspection appointments. Additionally, the Assistant will coordinate lead inspections in water and/or paint, filing appropriate paperwork and coordinating appointments. The Assistant will also assist parishes in completing BERDO requirements in the City of Boston as well as other similar requirements in other cities and towns. The Assistant will maintain spreadsheets for the Facilities Department, particularly as they pertain to the tracking of asbestos and energy efficiency. The Assistant will also work with the Sr Administrative Assistant with all other Property Management tasks. The Assistant for will report to the Sr Administrative Assistant.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate AHERA periodic surveillances and re-inspections of asbestos containing materials with the outside vendors and parishes and schools.
Assure inspection reports are obtained from the vendor and then distributed to school contacts in a timely manner.
Maintain a spreadsheet of inspection due dates and follow-up activities.
May also assist with other related clerical duties such as photocopying, faxing, filing and mailings.
Assist with the coordination of lead inspections and sampling.
Assist parishes with required BERDO reporting; keep updated spreadsheet with due dates.
Answer and respond to a variety of telephone calls and other inquiries
Assist with scheduling, filing paperwork, preparing documentation and coordinating meetings.
Other duties as assigned.
QUALIFICATIONS:
Possession of a high school diploma or equivalent with 1-2 years experience.
Excellent phone etiquette
Excellent verbal communication skills
Possess exceptional interpersonal communication skills.
Punctual
Able to work with minimal supervision.
Knowledge of MS Office (word, excel, outlook)
Ability to multi-task
Strong service orientation.
Willingness to support the mission of the Catholic Church.
PHYSICAL PERFORMANCE ELEMENTS:
Ability to use a computer keyboard for up to 8 hours/day.
Ability to sit for up to 8 hours/day.
Ability to lift up to 20 pounds.
