General Summary

The Executive Administrative Coordinator plays a vital, multifaceted role in supporting the administrative and operational functions of the Agency under the direction of the Chief of Staff. This role requires a high degree of discretion, professionalism, and organization, with a strong focus on financial processing, insurance coordination, office lease management, and executive-level administrative support. The individual in this role is detail-oriented, deadline-driven, and adept at balancing recurring tasks with strategic projects.
This position interacts with vendors, staff, insurance providers, and internal stakeholders across departments, ensuring accuracy in billing and reporting, maintaining continuity of insurance coverage, and contributing to the smooth operation of MassHousing’s Administration functions. The successful candidate will be highly organized, responsive, and possess excellent judgment, time management, communication, customer service skills and multitasking abilities in a fast-paced, dynamic environment. The position reports directly to the Chief of Staff and is a hybrid position with the expectation of being on site in office three (3) days a week and as requested.

Essential Functions

Office Lease Management

Review, track, and process all invoices related to leased office space (e.g., rent, utilities, taxes, operating costs, parking, work orders)
Ensure payments are applied accurately against assigned invoices
Prepare MassHousing’s rent invoices and bill subtenants for subleased office space
Understand lease terms to accurately project and process rent increases
Maintain awareness of billing cycles to ensure payments are timely and accurate
Generate the paperwork (invoice) to meet the rent due date

Insurance Administration

Coordinate the collection and submission of data for insurance renewals, including but not limited to property, general liability, umbrella, auto, cyber, D&O, HUD fidelity, crime, workers’ compensation, E&O, and travel accident
Liaise with the insurance brokers and internal division/departments on certificates, policy changes, and coverage updates to ensure timely execution of tasks
Maintain records and master lists (e.g., Agency drivers) and respond to internal data requests
Ensure premium payments are processed promptly to avoid any lapses in coverage
Track insurance activities and deadlines and escalate issues as needed
Coordinate data requests (i.e. size & composition of loan portfolio; current assets & liabilities)
Complete insurance applications for final review by Chief of Staff highlighting any changes and/or concerns

Executive Administrative Support

Provide complex and confidential administrative support to the Chief of Staff
Draft, review, format reports, correspondence, budgets and presentations
Manage calendar scheduling, meeting logistics, and event coordination for the Administration functions and support as directed by Administrative Services and their functions/events
Assist and manage the visitor security lists and systems
Compile background materials and track action items for meetings and strategic initiatives
Triage inquiries and concerns from staff, vendors and/or third parties, coordinating with relevant staff to provide timely responses
Prepare all correspondence for Chief of Staff’s review and signature
Provide backup to the Deputy Chief of Staff as needed and support Deputy with their responsibilities when needed

Operations and Project Support

Enter and manage data for reports, licensing, validations, parking, and vendor contracts
Monitor ongoing projects for status, compliance, and deadlines; raise concerns as needed
Collaborate with internal & external stakeholders to ensure smooth workflow and high-quality service delivery
Enter, track and complete work orders with CBRE and Building Engines software and reconcile billing
Liaise with the building management company on operational needs and inquiries as directed by Chief of Staff
Assist with all procurement policies and procedures & RFP processes and reviews
Manage the Mother’s Room schedule and space
Assist with our shared/hoteling space software, training and reporting

Additional Responsibilities

Serve as cross-functional backup for all Administrative Services functions to ensure operational continuity
Identify and recommend process improvements to enhance efficiency and service delivery
Participate in cross-departmental initiatives and contribute to organizational development
Ensure compliance with agency policies, safety procedures, and regulatory requirements
May oversee interns or vendor contracts based on project needs
Perform other duties as assigned by the Chief of Staff or any Executive Team Member

Security Requirements

Comply with MassHousing’s Information Security Program and all other Agency information security policies and procedures
Take responsibility for any Agency assets assigned to you
Promptly report any security events, incidents, or weaknesses to MassHousing’s Information Security Team
Minimum Qualifications
Associate’s degree in business administration or directly related field
Four years of advanced administrative support experience that includes providing confidential support to executive level staff
Working proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Eligibility to work in, and travel freely to and from, the United States without sponsorship
Preferred Qualifications
Bachelor’s degree in business administration or directly related field
Experience with Insurance administration and/or policy coordination
Familiarity with budgeting and invoice processing
Salary Range: $70,847.16 – $88,558.95
