Location: Miss A’s Residential Behavioral Health Facilities

Reports to: Administrators

Position Overview:

Miss A’s is seeking a dedicated and highly organized Administrative Assistant to support our administrators in overseeing daily operations and services. This individual will assist in ensuring that our facility runs efficiently, and that members and staff receive the highest quality of care and support. The ideal candidate is proactive, detail-oriented, and possesses excellent communication and organizational skills.

Key Responsibilities:

Assist administrators with daily operations, including the management of employees and members.
Support the review and maintenance of member and employee records, ensuring documentation is complete and accurate.
Coordinate scheduling, intake assessments, treatment plans, and discharge processes.
Facilitate communication between team members, ensuring updates and decisions are shared in a timely manner.
Assist in the preparation of reports, including concurrent reviews, monthly, and quarterly reports, and court documentation.
Provide administrative support during team meetings, audits, and state or insurance reviews.
Coordinate and organize resources for members, such as therapy services and educational support (IEP meetings, school registration, etc.).
Assist in managing employee records, recruitment processes, and onboarding documentation.
Help oversee adherence to policies and procedures and contribute to updates as needed.
Organize events and resources for foster care requests and OCJ kids events.
Manage administrative tasks such as arranging conference lines, maintaining records, and scheduling meetings.

Qualifications:

High School Diploma or equivalent required.
Minimum of 2 years of experience in an administrative role, preferably within a healthcare or residential facility.
Strong organizational skills with the ability to multi-task and manage time effectively.
Excellent communication skills, both verbal and written.
Ability to handle confidential information with discretion.
Experience with Microsoft Office Suite (Word, Excel, Outlook) or similar tools.
Fingerprint Clearance Card and 2-step Tuberculosis clearance (required prior to employment).

Preferred Qualifications:

Experience working in a behavioral residential facility or with children in a care setting.
Familiarity with HIPAA regulations.
CPR and First Aid certified.
Medication administration training or experience.
Leadership and mentorship skills.

Schedule and Requirements:

Full-time salaried position.
2 weeks PTO
Full healthcare benefits after 90 days
401k (matching) after 1 year of service.
Must be available to support administrators during audits, meetings, and after-hours on-call every 4th week.

Job Type: Full-time

Pay: $48,000.00 – $52,000.00 per year
