Office Manager
Location: Permanently Remote (Preference for candidates in EST time zone)
Job Type: Full-time and Permanent
Hours: Monday – Friday, 9:00 AM – 5:00 PM EST
Compensation: Up to $70,000 annually (based on experience) | Weekly direct deposit
Start Date: June 2025
Looking Glass Psychology, a thriving mental health practice in NYC, is seeking an experienced Office Manager to join our team. This is a permanently remote position — you will never be required to work in person. Ideal candidates will have a background in healthcare or mental health and understand the nuances of the field.
Key Responsibilities:
Manage day-to-day operations of the practice
Schedule appointments and coordinate calendars for clinicians
Create and prepare patient charts
Perform billing-related tasks and generate routine reports
Ensure accurate data entry and records management
Run payroll for the team
Update and maintain online listing sites and directories
Complete ad-hoc administrative tasks as needed
Requirements:
A minimum of 2 years RECENT prior experience in healthcare or mental health field is a must to be considered
Familiarity with health insurance concepts (e.g., in-network vs. out-of-network)
Excellent written and verbal communication
Proficiency with technology and comfort working in a remote environment
Ability to work independently and proactively solve problems
Strong ability to prioritize tasks
