The Executive Assistant to Enrollment supports the Spike Gummere Vice President for Enrollment, Senior Associate Vice President for Enrollment, and Senior Associate Vice President for Financial Aid. In addition to providing administrative support to them and the Office of Admissions and Financial Aid, the Executive Assistant will oversee day of campus visitor experience, help supervise student ambassadors, support and staff admission events, and assist with the processing of financial aid documents. The executive assistant will work exclusively on campus. Responsibilities require a willingness to work evenings and weekends regularly.

Job Responsibilities

Administrative Support to Spike Gummere Vice President (SGVP) and Senior Associate Vice Presidents (SAVP)

Help manage calendars and meetings for SGVP/SAVP.
Determine who among the SGVP/SAVP is best suited for virtual chats with prospective students and family members.
Help manage projects, including creating and editing documents, reports, and presentations for the SGVP.
Help plan recruitment travel for the SGVP.
Process transactions/receipts for SGVP.

Office of Admissions

Oversee daily visits by students and family members—more than 1,000 annually—as well as other constituencies. Greet visitors and implement individual schedules, including coordination with student ambassadors, faculty, and staff.
Serve as a secondary supervisor of student ambassadors, especially as related to prospective students’ individual visits.
Answer the admissions phone line and help manage emails.
Schedule meetings as needed for other staff members.
Support and staff admission events, including weekends and evenings as required.
Ensure a warm and inviting environment in Patterson Lodge. Responsible for upkeep, ordering of supplies, and requests to Facilities Management.
Assist in administration of admissions budget.

Office of Financial Aid

Answer the financial aid phone line and help manage the email inbox.
Help schedule appointments and coordinate current student and family members’ meetings with financial aid counselors.
Act as the “clearinghouse” for financial aid documents.
Help coordinate award letters in Slate and PowerFAIDS.
Assist with student loan “exit interviews” with graduating seniors.

Qualifications

Bachelor’s degree from an accredited institution.
Prior administrative experience in a college setting preferred.
Experience with or knowledge of the student experience at a small, residential liberal arts college.
Proficient with Microsoft Office suite (Outlook, Teams, Excel, Word). Familiarity with Slate preferred.
Strong organizational skills and attention to detail.
Ability to handle sensitive and confidential information.
Excellent interpersonal and verbal communication skills, especially in welcoming and visiting with prospective students and families.
Strong writing skills and evidence of responsive, prompt, and professional communication.
Ability to work collaboratively with a range of campus constituencies.
Ability to work with and help supervise student employees.
Demonstrated ability to support a diverse college community.
Valid driver’s license.

Salary and Benefits

Salary: $53,000 – $58,000.
