Description
GENERAL DEFINITION OF WORK:
Under general supervision, provide a wide variety of highly responsible and confidential administrative
support for the offices of the Parks & Recreation Senior Leadership team. Services as office manager for
the administrative office, coordinates administrative activities of the department with staff at all levels
and with the general public, and serves as a representative of the administration office in contact with
other employees, elected officials and the general public.
Examples of Duties
ESSENTIAL JOB FUNCTIONS:
1. Provides administrative support by performing difficult, diverse, and confidential
administrative duties in support of the Parks & Recreation Senior Leadership team.
2. Provides general customer service to the public by greeting visitors and answering the
telephone. Responds to and resolves difficult and sensitive complaints and inquiries; provides
general and specialized information and assistance with the area of assignment that may
require the use of judgment, tact, and sensitivity and the interpretation of policies, rules, and
procedures as appropriate.
3. Conducts assigned research; develops recommendations for Senior Leadership Team and
department wide work methods, operating policy, procedures, and other administrative
issues.
4. Performs purchasing activities for the Senior Leadership team using the City’s automated
purchasing system to process purchasing requests and payments, assuring proper budgetary
coding and approval. Researches availability, quality and price of items to be purchased
following appropriate purchasing guidelines.
5. Assists in the preparation and monitoring of the Department’s office budget. Reviews
expenditures, detect possible shortages, and project office budgetary needs.
6. Receives program registrations and facility reservations. Provides information and answer
questions about park facilities and recreational programs and events.
7. Collect monies for fees and donations; keep records of all cash receipts, count and balance
funds and prepare for daily deposits.
8. Schedules and coordinates appointments and meetings for the Senior Leadership team,
ensuring all are kept fully informed on all matters requiring their attention.
9. Screens telephone calls and visitors requiring considerable judgment to determine how the
request can best be served; resolves routine and some complex inquiries as qualified or refer
to appropriate individuals.
10. Maintains inventory of office supplies and equipment, ordering additional items as required.
Arranges for the repair and maintenance of office equipment as needed. Run errands locally
to pick up necessary items.
11. Maintains administrative records, files and databases, including entering data in a timely
manner, and maintaining all records in a secure and confidential system.
12. Schedules and coordinates meeting room space and arrangements. Attends meetings and
prepares meeting materials as required.
13. Opens, sorts and distributes incoming mail, including email; determines priorities and how
documents should be handled.
14. Utilizes word processing, spreadsheet, database, and other presentation software to produce
various documents to support administrative functions, proofing and editing work to ensure
clarity, correct spelling and punctuation.

Qualifications
KNOWLEDGE, SKILLS AND ABILITIES:Knowledge of methods of analyzing, evaluating, and modifying administrative procedures.
Knowledge of principles and practices of sound business communication to include business
letter writing and report preparation.
Knowledge of City services, programs, policies, and procedures.
Skilled in operating a variety of office equipment, such as computer, calculator, copier, fax
machine and multi-line telephone systems.
Knowledge of bookkeeping principles and practices that include balancing accounts and
tracing errors.
Skilled in computer software applications such as Microsoft Office Suite and Google
Documents and Sheets.

Ability to interact effectively, courteously and professionally with the public in handling
inquiries and communicating information.
Ability to handle sensitive and confidential matters.

Ability to learn and operate specialized systems software.
Requirements
EDUCATION AND EXPERIENCE:
Bachelor’s degree in Public Administration, Business
Administration or a related field or five years of progressively responsible administrative experience
supporting departmental leadership teams, or any combination of education, training, and experience
providing the knowledge, skills, and abilities necessary to perform essential job functions.

Work takes place in a clean, pleasant, and comfortable office setting.
