Job Description:

Reservations Responsibilities:

Managing Reservation Inquiries: Responding promptly to reservation inquiries via various communication channels such as phone calls, emails, WhatsApp, PMS, OTA platforms, and others.

Updating Reservation System: Ensuring accurate and timely updates of direct bookings, extensions, and payments in the reservation system. Collaborating with relevant team members for seamless communication.

Coordinating with OTAs: Handling special requests, amendments, and guest-reported damages with online travel agencies. Collecting proofs, managing invoices, and ensuring proper documentation.

Guest Reviews: Writing and responding to guest reviews on Airbnb and other OTA platforms within a 24-hour SLA.

Client Pitching: Informing potential clients about company services and promotions, including landlords and agents, with conversion targets set for each segment.

Administrative Responsibilities:

HR Assistance: Aiding the HR department in visa applications, renewals, and other company-related document processing as required, particularly during seasonal peaks.

Procurement of Household Items: Regularly sourcing and purchasing items for the onboarded apartment, ensuring cost-effectiveness and quality.

Onboarding Assistance: Managing the DTCM list and coordinating approvals for purchases. Addressing communication delays and errors to streamline the process.

Monthly Reviews: Compiling and preparing monthly reviews for submission to the Marketing department.

Property Amenities Procurement: Procuring necessary amenities for both existing and new apartments, maintaining detailed records of purchases.

Contract Renewals: Communicating with homeowners for contract renewals, preparing new contracts, and NOCs as needed.

Property Registration: Registering and licensing new properties via the DTCM Portal and managing guest check-in and check-out registrations.

Invoicing: Preparing and sending invoices/receipts for closed deals as per availability.

Access Card Activation: Activating access cards for guest check-in dates by coordinating with building management.

Checklist Preparation: Creating checklists/handover lists for new apartments and ensuring thorough review and documentation.

Additional Responsibilities:

Utilize PMS and channel manager Hostaway for efficient reservation management.

Onboard new apartments onto PMS for listing on various OTAs and ensure professional descriptions are provided.

Review the work of our listing agent for all properties on local platforms like Property Finder, Bayut, and Dubizzle on time.

Facilitate the onboarding process for property insurance.

Handle specific tasks related to reservation inquiries, onboarding communications, unit directory management, and operational follow-ups.

Upsell extra nights or convert guests from OTAs to direct bookings
