JOB DESCRIPTION
Your Role

The Executive Assistant, Experienced will report directly to three Vice Presidents and their direct reports when needed. In this role you will be responsible for the planning, and implementing the administrative needs for the team’s work collaboratively with the Vice Presidents’ key stakeholders ensuring that meetings are prioritized, and timelines are kept, along with handling expenses, travel plans, and will be the center point for providing administrative support to the team.

Your Work

In this role, you will:

Carry out administrative, analytical or procedural tasks with high degree of autonomy
Handle administrative matters, in the absence of, or on behalf of, the manager
Provide administrative oversight of third-party relationships through implementation of designated systems, routine monitoring of performance, and tracking of goods and/or services
Serve as administrative liaison between manager and direct reports and others within and outside the organization
Manage day-to-day organization of executive’s calendar, appointments, meetings, and related schedule
Coordinate business travel and prepares monthly business expenses
Support department invoicing, meetings, events, and projects
Act as an information source on organization policies and procedures
Assist with onboarding new employees, equipment supports and off-boarding when needed

QUALIFICATIONS

Requires a bachelor’s degree or equivalent experience
Requires at least 3 years of prior relevant experience
Experience in managing complex and conflicting priorities required
Experience providing administrative support to Director and above executives in a fast-paced, complex environment required
Requires strong communications and relationship management experience
Ability to take directions, provide inputs and able to deliver on assigned tasks
Skills in time management and ability to identify and remove inefficiencies in team or individual calendar(s)

The pay range for this role is: $ 71,280.00 to $ 99,770.00 for California.

Please note that this range represents the pay range for this and many other positions at Blue Shield that fall into this pay grade. Blue Shield salaries are based on a variety of factors, including the candidate’s experience, location (California, Bay area, or outside California), and current employee salaries for similar roles.

Hybrid – In a business unit approved office a few times per year to 3 days per week, on average

If the role you’re applying for is deemed an “Essential Role,” the company has determined that the role can only be performed in a Blue Shield office or in the field and would require your to meet the office worker classification.

Physical Requirements:

Office Environment – roles involving part to full time schedule in Office Environment. Due to the current public health emergency in California, Blue Shield employees are almost all working remotely. Based in our physical offices and work from home office/deskwork – Activity level: Sedentary, frequency most of work day.
