We’re a well-established and privately owned retail shopping center development company located in Walnut Creek, CA, and we’re currently looking for an energetic, friendly, and highly organized Administrative Assistant/Receptionist to join our team. This is a fast-paced, multi-faceted role with frequent interruptions, so flexibility and the ability to juggle multiple tasks with a positive attitude are key!

Key Responsibilities:

Provide administrative support to the Finance Director, Accounting Team, and Property Management Departments.
Liase with and support other administrative positions throughout the company.
Answer and direct incoming calls on the main company phone line with a professional, friendly demeanor.
Maintain an organized and welcoming front lobby and conference rooms, ensuring they are always presentable for meetings and visitors.
Open, sort, and distribute incoming mail and packages efficiently.
Manage shipping logistics, including organizing FedEx and/or UPS air bills and envelopes by property.
Coordinate deliveries and pickups for important plans, reports, and documents as requested.
Process overnight and regular mail packages in a timely manner.
Distribute incoming faxes through email, MS Outlook, and physical mail as appropriate.
Assist the company with HR-related tasks, such as processing new hire paperwork, payroll changes, employee benefits, and 401k administration.
Prepare, organize, and file documents for accounting, including accounts payable, and property management, including lease files.
Assist with copying and scanning documents for both the Accounting and Property Management departments.
Maintain an organized file system, both digitally and physically – including archived filing for Accounting and Property Management.
Keep contact lists up-to-date in MS Outlook.
Collect and input Gross Sales data into the Gross Sales Report.
Monitor and order office and printer supplies to ensure smooth office operations.
Keep copiers and printers stocked with paper and troubleshoot any equipment issues, scheduling repairs as needed.

Ideal Candidate Qualifications:

2+ years of prior receptionist/administrative experience in a real estate, construction, or development environment is preferred.
Strong attention to detail, organizational skills, and a positive, friendly attitude.
Ability to manage multiple tasks in a fast-paced environment while maintaining flexibility.
Excellent verbal and written communication skills, with the ability to interact professionally with team members, clients, and vendors.
Proficiency with MS Office Suite (Word, Excel, Outlook) and Adobe Acrobat. Experience with Photoshop and Internet Explorer is a plus.
Strong work ethic, professionalism, and a team-oriented mindset.
Does well working independently or with a team.

Additional Details:

Compensation: Competitive and based on experience.
Education: Some college experience is preferred, but not required.
