JOB OVERVIEW:
The Administrative Assistant of Human Resources will perform administrative duties related to the operations of the human resource office.
REPORTS TO: Director of HR
ESSENTIAL JOB FUNCTIONS:
Answer and direct departmental phone calls.
Receives and distributes office mail.
Schedule and organize appointments; take minutes during departmental meetings.
Proofread and type documents and correspondence produced by department.
Process required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
General HR support to staff.
Assist with recruiting efforts to obtain qualified applicants which may include advertising, attending job fairs, and updating mailing lists.
Coordinate new hire scheduling and processing.
Maintain detailed records of applicants or employees and assembles and types these into periodic reports.
Process on-line transactions related to the entry of new employees, changes and exits of employees.
Benefits administration.
Compile and maintain paper, digital and electronic employee records, including holiday and sickness leave.
Write and submit reports on general HR activities
Assist in administering and monitoring paperwork administration and record maintenance.
Assist in maintaining automated and manual rosters of SLR employees.
Issue ID badges. Set up appointments, take pictures, processes and prints badges. Monitor requests for new and replacement badges.
Explain personnel records, leave rules, holidays, payroll administration, and other general administrative procedures to individual employees or agencies.
Conduct general orientation meetings and explain SLR personnel policies and procedures to new employees.
Assist in the coordination of employee development and training programs.
Assist in the delivery of training in a team-teaching mode.
Assist in the development and preparation of classification and compensation surveys.
Use computer software packages and other automated office systems to generate a variety of documents, including lists, tables, reports, correspondence, and other personnel documents.
Create and maintain databases and files.
Perform other related duties as assigned.
REQUIRED SKILLS AND ABILITIES:
High school diploma or equivalent required.
Administrative training required.
Two years of administrative assistant experience preferred.
Excellent organizational skills and attention to detail.
Extensive knowledge of office management systems and procedures.
Ability to operate general office equipment.
Excellent written and verbal communication skills.
Ability to type 60 words a minute.
Proficient in Microsoft Office Suite or similar software.
Ability to maintain confidential information is critical.
Physical Demands:
While performing the duties of this job, the employee regularly is required to sit at a desk and work on a computer for extended periods; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee occasionally is required to sit; and stoop, kneel, crouch, or crawl and lift more than 15lbs. Physical stamina and a proper mental attitude to work under pressure at a fast pace are essential. Must have the mental fortitude to handle the pressures of multiple tasks while providing excellent guest service.
Work Environment:
The duties of this position are primarily performed in indoor climate conditions.
