Role Overview
We are seeking a highly organized, detail-oriented Administrative Assistant / Development Coordinator to support the operational and administrative flow of an active commercial real estate development business.
This role will work closely with company leadership, particularly supporting day-to-day administrative coordination, document management, deadline tracking, reporting organization, and internal operational support across multiple development projects.
The ideal candidate thrives in structured but dynamic environments and enjoys bringing order to moving pieces. You should be comfortable handling repetitive administrative tasks with precision while also adapting quickly as priorities shift throughout the day.
This is not simply a “task-doer” position. The right candidate will become a trusted operational support partner who proactively helps keep projects, contracts, reports, timelines, and communications organized and moving forward.
Key Responsibilities
Administrative & Document Management
- Save, organize, rename, and maintain files according to internal naming conventions and systems
- Maintain highly organized digital filing structures across multiple active projects
- Log incoming reports, due diligence documents, and project updates into internal tracking systems
- Assist leadership with administrative organization and workflow coordination
- Locate and retrieve files, contracts, reports, and supporting documents quickly and accurately
Contract & Deadline Coordination
- Track important contract dates, expiration periods, amendments, extensions, and due diligence timelines
- Update internal tracking sheets and reporting systems as timelines change
- Coordinate reminders related to consultants, vendors, reports, and project milestones
- Send calendar reminders and follow-up notifications regarding critical deadlines and deliverables
- Help ensure the business stays ahead of important contract and reporting obligations
Calendar & Operational Support
- Assist with scheduling reminders, task coordination, and administrative follow-through
- Coordinate communication between departments, consultants, and internal stakeholders
- Support leadership with ad hoc operational and administrative tasks
- Help maintain organization and visibility across multiple ongoing projects simultaneously
Marketing & Presentation Support
- Assist with creating light marketing and presentation materials for brokers and retailers
- Use Canva or similar tools to create clean, professional static marketing collateral
- Organize and distribute development-related materials as needed
Financial & Confidential Information Handling
- Assist with organizing financial reports, statements, and internal project documentation
- Maintain strict confidentiality around retailer relationships, development projects, contracts, and financial information
- Operate professionally within NDA and confidentiality requirements at all times
Requirements
Hard Skills & Experience
- Previous experience in Administrative Assistant, Executive Assistant, Project Coordinator, Operations Assistant, or similar administrative support roles
- Strong organizational and file management abilities
- Experience managing calendars, reminders, deadlines, or operational tracking systems
- Excellent written and verbal English communication skills
- High proficiency with Google Workspace and/or Microsoft Office
- Comfortable learning new systems and software quickly
- Ability to work full-time aligned with U.S. Eastern Standard Time hours
- Stable internet connection and professional remote work environment
Preferred Experience
- Commercial Real Estate, legal, property development, construction, or transaction coordination experience is highly preferred
- Experience reviewing contracts, tracking dates, or coordinating project documentation is a strong plus
- Light Canva or design experience preferred but not required
- Experience handling confidential financial or operational information is a plus
