Job Description:

The Executive Assistant will provide high-level administrative support to the CEO and members of the Executive Team. The ideal candidate will have experience in business administration, finance, and communications. The Executive Assistant will be responsible for managing the CEO’s calendar, scheduling meetings, and coordinating travel arrangements. The candidate should be proficient in Office365, Outlook, Excel, Salesforce and PowerPoint. The Executive Assistant will also be responsible for networking and event planning. The candidate should have excellent organizational skills, experience supporting multiple C-level executives, and be able to prioritize tasks effectively.

Role and Responsibilities:
Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
Completes a broad variety of administrative tasks for the CEO, Accounting and Operations leaders, including: managing an extremely active calendar of appointments; completing expense reports; assisting with Accounting and Operations tasks, composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Communicates directly, and on behalf of the CEO, with internal and external stakeholders on matters related to CEO’s programmatic initiatives.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the President’s office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.
Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the President updated.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the President, some of which may have organizational impact.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Education, Experience, & Skills:
What Technical Knowledge, Experience, & Skills are required to effectively fill this role?
Bachelor’s degree in Business Administration, Marketing, Construction Management or or equivalent experience preferred
Advanced understanding of the construction process, including project management, cost control, scheduling, safety regulations, and engineering
Knowledge of contract risk management, as well as client-contract requirements and sub contractor requirements.
Experience working with local municipalities, inspectors, utility providers and government officials.
Experience Managing a Budgets and P&L
Fundamental knowledge of labor laws and regulatory compliance.
Understanding and proficient on Salesforce, 90io, CE, Microsoft 365, and Project Management software
Driver’s License
Willingness to regularly travel within the region and to corporate office
