Job Title: Administrative Assistant
Schedule: Monday – Friday 8am – 4:30pm
Hourly: $22 – $25 per hour (based on experience)

Job Overview:
We are seeking a highly organized and goal-oriented Administrative Assistant who thrives in a fast-paced environment. In this role, you’ll be responsible for supporting the day-to-day operations of the office, ensuring everything runs smoothly and efficiently. You’ll also be a key player in improving administrative systems and processes to help us work smarter and more effectively.

As the Administrative Assistant, you will handle a variety of tasks including managing appointment schedules for the Electrician team, providing exceptional customer service, assisting with marketing efforts, and keeping the office organized. Your focus will be on optimizing workflows and helping the team function at its best.

Key Responsibilities:

Customer Service & Communications: Act as the first point of contact for customers, handling calls, scheduling appointments, and answering inquiries in a professional and friendly manner.
Scheduling & Coordination: Take ownership of scheduling daily and weekly tasks for our team of electricians, optimizing the process to ensure efficiency and timely service.
Administrative Support: Manage office tasks such as maintaining records, filing city permits, and assisting with documentation like insurance packages and vendor communications.
Invoice & Payment Management: Ensure all invoices are sent promptly, tracked, and followed up for timely payments.
System Improvement & Efficiency: Take an active role in identifying and suggesting improvements to current administrative systems and workflows, aiming to increase efficiency and streamline operations.
Marketing Support: Assist in the upkeep of our online presence, including maintaining the website, supporting social media efforts, and helping with local advertising campaigns.
Office Supply Management: Keep the office well-stocked with necessary supplies, uniforms, and equipment to ensure daily operations run smoothly.
General Office Assistance: Take on additional administrative tasks as needed, always looking for ways to improve and contribute to the team’s success.

Qualifications:

High school diploma or equivalent required; Associate’s degree or relevant certification a plus.
Strong administrative skills with a keen eye for detail.
Excellent communication skills, both written and verbal.
Ability to juggle multiple tasks and prioritize effectively.
Experience in office administration or customer service is preferred.
Comfortable using Microsoft Office (Word, Excel) and Google Suite. Familiarity with scheduling or CRM software is a plus.
Enthusiastic about process improvement and finding ways to make the office run more efficiently.
Positive, proactive attitude and a desire to contribute to a growing team.

Job Type: Full-time

Pay: $23.57 – $24.93 per hour

Expected hours: 35 – 40 per week
