$17.82 to $20.05 per hour (Note: The hourly rate will commensurate based on education and occupational experience).

LOCATION: Lakeshore College – Cleveland, Wisconsin
POSITION SUMMARY: Provide administrative support and customer service for the instructional division, as well as direct support to the division’s Dean and Associate Dean. Understand organizational core processes as they relate to department activities and college initiatives. Manage the scheduling process utilizing administrative system software within the institutional areas of responsibilities. Use college systems to obtain information for reports and in making decisions. Perform job responsibilities without direct supervision; maintain confidentiality and ability to work within a variety of situations. Provide outstanding customer service, high visibility, and communications to all customers by promoting a positive image of the college internally and externally.

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):
(40%) Program Support
Support faculty, deans, and associate deans in annual program planning and assessment processes.
Develop, input, and manage division master course scheduling and resolve schedule conflicts. Support dean/associate dean to develop and maintain faculty schedule and associated payment.
Coordinate enrollment activity, including grade and attendance entry, as needed, grant enrollment, and manage course wait lists.
Collaborate with other areas of the college to support students and the division. Represent division on cross-functional campus-wide committees and activities.
Manage and support program advisory committee meetings.
Coordinate, working directly with faculty and division leadership, program orientations, student internships, and off-site agreements.
(40%) Administrative Office Operations
Serve as a professional line of communication between students, faculty, and instructional leaders.
Issue direct divisional leadership support.
Maintain functional knowledge of required student information systems and other college platforms.
Serve as division liaison to support college initiatives, such as Credit for Prior Learning, Dual Credit, high school relations, and divisional tours.
Work with faculty and division leaders to determine course planning.
Support basic budgeting and spending needs, such as expense tracking, budget monitoring, purchasing, and inventory monitoring.
(10%) External Partner Collaboration and Communication
Provide excellent customer service to external customers and stakeholders, including enrolled and inquiring students.
Communicate learning opportunities to external partners, including employers, potential students, and other inquiries.
Coordinate division participation with tours, college events, and college public relations activities.
(10%) Division-Specific Duties
Proctor student exams, as needed.
Facilitate the
ground Information Disclosure review process and/or documentation of academic preparedness step completion.
Coordinate clinical and off-site educational training opportunities.
Serve as a liaison between external accreditors and agencies.
Provide support for shared program documentation and work with collaborating colleges to gain necessary materials and information.
Assist in onboarding new faculty and staff.
Train new division specialists.
Provide Grants Management Support for program-related grants. Enter enrollments, and attendance, and assist with grant reporting.
EDUCATION AND EXPERIENCE:
A related associate degree from a regionally accredited college or university in a related discipline is required.
Two to three years of relevant occupational experience required.
Multilingual individuals preferred.

PHYSICAL DEMANDS/WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly required to sit and talk or hear.
The employee frequently is required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.
The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
The employee must occasionally lift and/or move up to 25 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work environment may require multi-tasking.
The noise level in the work environment is usually moderate.
