ABOUT THIS POSITION

The Planning & Development Department (PDD) guides the physical development of the city by preserving our historic sites, planning what can be built where, and ensuring safe construction of buildings and infrastructure. A host of advisory and governing bodies of residents as well as elected officials provide oversight as the city grows and needs arise. The process is governed through development and enforcement of city codes and ordinances.

Planning and Development is seeking an Administrative Assistant I to serve as the PDD designated Records Control Officer. This position supervises the Planning and Development Department (PDD) Records Supervisor. The Administrative Assistant I is responsible for oversight of public records requests (PRR). The position reports to an Administrative Assistant II in the Business and Strategy (B&S) Division. The PDD Records Counter is located on the 3rd floor of City Hall and is open to the public during business hours. This position will also work on special projects for the department/division and be responsible for various other day-to-day administrative duties in support of the Records Counter, division, and/or department.

As the department’s designated control officer, Administrative Assistant I will be responsible for adhering to state and city Record Retention and Destruction Policies and Procedures and for ensuring department compliance. The Administrative Assistant I will also be responsible for making sure PRR assigned to PDD are distributed to Records Center staff and processed in a timely manner. After the city’s public safety departments, the PDD Records Center receives the highest volume of PRR.

This position will be required to work in multiple business applications that support PDD. The Administrative Assistant I will be lead administrator for the department’s electronic document control system, ONBASE, including security and access reviews and approvals. This position will also represent records in the design/build of SHAPE PHX.

Sound business communication, written and oral, including public speaking skills.
Advance proficiency in Microsoft Office Suite and standard computer uses and applications (i.e., Microsoft Office Suite, Webex, Teams, SAP, etc.)
SALARY

Pay Range: $23.74 to $44.77 per hour.

Hiring Range: $23.74 to $38.68 per hour.

MINIMUM QUALIFICATIONS
One year of paraprofessional experience in governmental research and finance administration or paraprofessional experience aiding an administrative officer in technical and administrative problems and affairs.
Bachelor’s degree in public or business administration or a related field.
Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

Two or more years of supervisory experience.
Three or more years of Governmental research experience.
Experience working with KIVA, SHAPE PHX, and ONBASE.
Experience providing customer service in person, over the phone, and via email.
Experience interacting and working collaboratively with Senior management, City Attorney’s Office, and other City Executives.
Experience with Government records retention and destruction policies and procedures.
Experience researching and processing public records request.
E-procurement and SAP/VIM experience.
GovQA experience.
Cash handling experience.
