HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:
Working in a discreet environment handling sensitive and personal information daily
Completing transactional duties with specialattention to detail, being organized, andmulti-tasking
Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant II, your day-to-day responsibilities will include:
The candidate will be on the busy Learning Engagement Team with four Administrative Assistants and a Senior Training Officer in an office setting
The team provides registrar and training support to the workforce and occasionally officers from other directorates and external organizations in the WMA
Candidate is part of a five person administrative team to provide Registrar and training support for Customer courses
Even thoughteam environmentexists, AA must work with some independence to effectively and efficiently perform responsibilities
Each AA will support multiple courses, and the courses average 30 attendees, but it can range from 10 to as many as 50
There are online and classroom environment courses and the AA will learn/support each course type requirements
Positions will be split by size and complexity with this position growing responsibility as they become more familiar
Registrar responsibilities predominately include attendee registrations, post course training credits, and providing customer support ensuring classrooms are set up with appropriate supplies and learning materials (replicating course materials)
Registrar providescommunicationthrough email or phone for detailed or general course information and follow through actions like accurate and complete registration process
Candidate will utilize tact and decorum to communicate with various student levels from junior to senior levels
Candidate will back-up the other team members. Prior registrar experience preferred; prior Customer experience preferred
Candidate must be energetic, self-directed, and motivated individual that can demonstrate patience and willingness to serve attitude as well as follow-up and initiative
Candidate should possess the ability to build, cultivate, and maintain positive relationships with customers, team members, and stake holders
With assistance of team members, candidate will ensure computer hardware is in working order to include relocating hardware when not in use in the classroom and rolling tables/chairs/easels in alearning environment
On rare occasions, the candidate may need to travel to other locations in the WMA/CONUS to attend office events using a POV or GOV, depending on circumstances
The candidate will use basic proficiency in Outlook, Word, Excel, along with Sponsor room reservation and request system
Experience in performing registrar duties is preferred
The candidate will provide accurate and thorough student correspondence
The reservations for classrooms, breakout rooms, and conference rooms are done in the room request calendar.
