Title: Admin Assistant – Invoicing (AU, Construction, Hybrid)

Location: Metro Manila

Schedule: Monday – Friday (6:00 AM – 3:00 PM PHT)

Setup: Hybrid setup, 2x a week onsite

What are we looking for? Skills Required:

  • Proven experience as an Admin Assistant or similar role
  • Experience handling invoicing processes (AP exposure preferred)
  • Proficiency in invoicing/accounting tools (e.g., Xero, QuickBooks or similar)
  • Strong attention to detail and accuracy in data entry and record-keeping
  • Excellent communication and organizational skills

Nice to Have:

  • Background in Accounts Payable or finance support roles
  • Experience supporting AU/NZ clients
  • Knowledge of billing and invoice approval workflows
  • Experience preparing reports or summaries
  • Ability to work independently in a fast-paced environment

What will you do?

  • Manage invoicing processes from start to finish, ensuring accuracy and timeliness
  • Organize invoices for management approval in line with billing procedures
  • Coordinate with vendors and internal teams to resolve invoicing discrepancies
  • Maintain accurate and organized records of invoices, payments, and documentation
  • Assist in generating financial reports and summaries as needed
  • Provide administrative support (email management, scheduling, and coordination)
  • Attend meetings, take minutes, and track action items
  • Prepare and maintain reports for management
