We are seeking a highly organized and proactive Admin Assistant to join our client in Rotkreuz. This role will provide essential administrative support and ensure smooth day-to-day operations within the team.

General Information:

• Latest Start Date: 01.06.2025

• Planned duration: 1 year (Extension, possible)

• Workplace: Rotkreuz

• Workload: 50 – 70%

• Remote/Home Office: Yes, max. 2 days

Tasks & Responsibilities:

• Manage software licenses for the team, ensuring timely renewals and updates

• Maintain distribution lists for effective communication

• Implement document version control and archiving procedures

• Schedule meetings with internal and external stakeholders

• Coordinate internal/external workshops, training sessions, and team events

• Organize face-to-face (f2f) meetings, including venue scouting, logistics management, and on-

site support

• Manage onboarding and offboarding processes for external employees

• Coordinate recruitment events and related administrative functions

• Oversee entry and exit processes for team members

• Manage training programs throughout our training tool, including report generation

• Manage purchase orders for external services

• Oversee consulting contracts, external services, and various offers

• Handle goods receipt postings and process electronic invoices efficiently

Qualification and experience:

• Successfully completed commercial training’ or ‘Commercial diploma (e.g. commercial

apprenticeship or commercial college) or an equivalent qualification

• Min. 2-3 years experience in a similar position

• Ability to manage multiple priorities and deadlines in a fast-paced environment

• Proficiency in administrative tools (e.g. G-Suite)

• Strong interpersonal and communication skills

• Demonstrated ability to work independently with a high level of initiative

• Excellent organizational skills with a proven track record of driving efficiency

• Fluent in English, both spoken and written
