Role Description The Admin Assistant / Project Support role is a full-time position based in Potters Bar.

The role involves providing day-to-day administrative support to project managers, the warehsoue and Branch Manager including maintaining project documentation, updating spreadsheets and databases, preparing reports, and organizing files and records.

The individual will handle phone calls and emails, schedule meetings, coordinate logistics-related paperwork, and support the planning of transportation, storage, and installation activities. Responsibilities also include assisting with inventories, collating condition reports, tracking project milestones, and ensuring accurate data entry to support smooth delivery of fine art, FF&E, and event logistics. The role requires working closely with internal teams and clients, following established processes, and helping to resolve routine administrative issues in a timely manner.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including document management, data entry, scheduling, and record keeping.
  • Professional Phone Etiquette and Communication skills to interact confidently with clients, suppliers, and internal teams.
  • Experience in Executive Administrative Assistance or similar support roles, with the ability to prioritize tasks and manage multiple projects.
  • Proficiency with standard office software (e.g., MS Office or equivalent) and comfort working with spreadsheets and databases.
  • High attention to detail, accuracy in handling logistics and project information, and strong organizational skills.
  • Ability to work both independently and collaboratively in a hybrid environment, with reliability in meeting deadlines.
  • Previous experience in logistics, relocation, events, interiors, or fine art handling is beneficial but not required.
  • Relevant education or training in administration, business, or project support is an advantage.
