ADMIN MANAGER – SKY PEAK FINANCIAL
Overview:
Sky Peak Financial is seeking a full-time Admin Manager to support and manage our daily operational, administrative, and client-service functions. This is a critical role that supports firm efficiency, client experience, and leadership operations. You’ll be directly responsible for keeping processes tight, client service smooth, and the office running like a well-oiled machine. Core Responsibilities:
Client Implementation & Servicing:
Process and manage investment and insurance applications from submission through implementation
Communicate with clients, underwriters, and vendors to move paperwork forward efficiently
Handle policy servicing needs (e.g. change of beneficiaries, address updates, money movement)
Maintain a high level of professionalism when discussing personal health or financial information with clients
Case & Process Management:
Track and manage financial planning cases post-onboarding
Monitor client timelines, upcoming deliverables, and key milestone dates
Maintain and update internal workflow documentation and SOPs to improve operational efficiency
Enter and manage CRM data as requested by planners
Operational & Executive Support:
Monitor and manage executive calendars and inboxes with discretion and accuracy
Assist in client event coordination and relationship initiatives
Support executives as needed (errands, lunch pickups, material prep, etc.)
Attend and contribute to team meetings, bringing new ideas for efficiency and workflow improvements
Client Experience & Office Management:
Serve as the first point of contact for in-office guests: warm greetings, refreshments, conference room setup
Maintain a clean and professional office environment (wipe down tables, clean bathroom mirrors, take out trash, etc.)
Coordinate basic office supply runs and ensure supplies are stocked
Represent Sky Peak Financial’s culture and professional standards at all times
Qualifications & Fit:
Strong communication skills and emotional intelligence – this is a people-first role
Problem-solver with the confidence to bring new solutions and ideas to leadership
Highly organized, process-oriented, and able to manage multiple workflows at once
Tech-savvy: Proficient in Microsoft Office, Outlook, Excel/Google Sheets; quick learner on new platforms
Experience in financial services, insurance, or investment industry a plus, but not required
