Mission/Objective

As the Executive Assistant & Operations Coordinator at Tags Weekly, your mission extends far beyond conventional administrative support, placing you at the heart of our strategic vision and operational efficiency. In this pivotal role, you’ll not only orchestrate the CEO’s vision but also serve as the architect of a meticulously organized executive operation, driving the company toward unparalleled operational excellence.

You’re tasked with the smooth execution of executive operations, from active participation in meetings and strategic note-taking to meticulous task delegation. What You’ll Be Doing

Strategic Calendar and Email Management: Efficiently manage the executive’s calendar and email systems, ensuring optimal organization and time management.
Communication and Liaison: Act as a pivotal point of communication between the executive and internal/external stakeholders. Manage, screen, and direct phone calls, emails, and correspondence as necessary.
Meeting and Event Coordination: Organize and provide comprehensive support for executive meetings, including agenda preparation, minute-taking, and follow-up on action items.
Travel and Logistics Management: Handle all aspects of travel arrangements and itinerary planning for the executive and their team.
Drafting and Document Management: Draft, proofread, and manage the distribution of correspondence, reports, and presentations.
Operational Oversight and Process Improvement: Manage and maintain office operating practices, identifying and implementing improvements in workflow and reporting procedures.
Project Management and Special Assignments: Take charge of special projects as delegated by the executive, coordinating across departments and with external partners.
Team Supervision and Training: Supervise clerical staff, coordinate training, and ensure ongoing skill development within the administrative team.
Confidential Information Management: Safeguard sensitive information with the highest discretion and integrity.
Payroll Processing and Financial Document Management: Oversee payroll processing and manage financial documents including invoices and statements.
Policy Development and Implementation: Develop and ensure adherence to administrative policies and procedures.
Office Management and Bookkeeping: Handle basic office management duties including supply orders, records management, and basic bookkeeping.
Stay Informed and Agile: Remain updated on industry trends and best practices, adapting to new challenges and opportunities in office management.
Other Duties: Perform additional administrative tasks as required, embracing the dynamic nature of the role.
