Secretary 2

The Secretary 2 will be an integral member of the Division of PK-12 Learning. This position will provide secretarial/administrative assistant support for the Federal Programs, Food and Nutrition, and Division Administrator of the PK-12 Learning Division.
Your Responsibilities:
Schedule meetings/events, prepares space for attendees (name plates, etc.) and takes minutes for meetings hosted by the division/bureau.
Accurately post and/or update information on the Department’s website.
Receives/screens visitors and telephone calls; answers routine questions related to Federal Programs, School Improvement, and Food and Nutrition Bureau’s work.
Assists staff with general software functionality (Google Suites, Word, use of Department templates and branding) and Work Day support (Timesheets, leave requests, spend authorizations, expense claims.)
Support the Federal Programs Bureau with reviewing and processing quarterly reimbursement claims in a timely and efficient manner.
Types/proofs correspondence, reports, presentations, minutes, etc. for accuracy, grammar, spelling, sentence structure; prepares final draft for distribution/mailing.
Assists with completion of ADA, Compliance, State Board reports/presentation, updating Title guidance, risk assessments, checking allocations, federal reports, and contracts.
Make travel arrangements and enter expenses in Workday for Bureau Chiefs and Division Administrator.
Monitors and orders supplies and/or equipment.

Desirable Requirements:
Experience communicating with internal teams and external stakeholders
Experience managing several responsibilities and adhering to multiple deadlines
Experience interpreting and implementing state or federal education law.
Experience reviewing and preparing financial reports, contracts, and expenditure information
Experience proofreading formal documents and reports
Experience utilizing word processing and spreadsheet software such as Microsoft Word, Excel, Google Sheets, Gmail, and Calendar
Minimum Qualification Requirements
Experience equal to two years of full-time general office work, one year of which must have involved secretarial or related administrative support duties;
OR
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
OR
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required general office experience;
OR
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
OR
employees with current continuous experience in the state executive branch that includes the equivalent of one year of full-time work as a Secretary 1.
