JOB DESCRIPTION: ADMIN AND OPERATIONS ASSISTANT
Rising Sun is hiring an Admin and Operations Assistant to support core general administrative and operational functions. The Admin and Operations Assistant reports directly to the Administrative and Operations Associate, and works closely with the Administrative Coordinator, though they will support multiple staff and will work closely with multiple departments.
A successful Admin and Operations Assistant…
Is a quick learner and enjoys the challenge of learning new tasks and implementing new skills
Is comfortable with asking questions for accurate clarification of assigned tasks
Can juggle multiple tasks and is highly organized
Has strong computer skills and experience using platforms like Google Suite, Microsoft Office, and Salesforce; able to quickly learn new software and databases as needed
Has an eye for detail and doesn’t mind data entry, filing, and other administrative tasks
Likes to problem solve and troubleshoot
Enjoys working with others, but is also happy to work alone
Is willing to jump in where help is needed
Job Responsibilities
Support with a high volume of seasonal employees’ onboarding documents and payroll preparation
Coordinate with cross departmental program teams to ensure smooth onboarding of seasonal staff
Maintain record of compliance training completion
Prepare seasonal employees’ enrollment in pay card program
Conduct employment eligibility verification (e.g. I-9) for various site offices
Perform internal audits and organize necessary documentation to meet federal compliance and Rising Sun’s internal policies
Support organizational culture initiatives as needed
Complete other tasks as assigned
As an Admin and Operation Assistant, you MUST…
Adhere to all Rising Sun policies, including the Mandatory COVID-19 Vaccine Policy for Employees and Board of Directors

Have a car, valid driver’s license, and car insurance
Be able to pass a motor vehicle record check with a safe driving record
Be able to pass a criminal background check
Be able to complete the virtual Mandated Reporter Training, Sexual Harassment Training, and Cyber Security training within your scheduled training week(s).
It’s a big plus if you have…
Experience working with Zenefits/TriNET or other HRIS systems
Familiarity with nonprofit compliance, especially with workforce development, youth development, and/or environment
Familiarity with performing data entry and systems
Experience working in environments with cross-departmental teams
Basic understanding of payroll practices and processes
Able to lift and carry up to 25 pounds and climb ladders as part of ongoing inventory management, ability to be physically active
Fluency in a second language (Spanish preferred)

This is a temporary, non-exempt, non, benefited, part-time, hourly, hybrid position.
Position Schedule: May 12th – August 27, 2025
Pay: $25.00/hour, estimated 32 hours per week, hours per week may vary by agreement
Rising Sun sponsors the optional use of a mental health platform, Spring Health, for the use of up to 6 coaching sessions, 6 therapy sessions, and on-demand self-guided resources at no expense for the duration of your employment with Rising Sun.
Location: Hybrid, occasional in-person at our Oakland HQ office and site office visits across the Bay Area
Vehicle use reimbursement*: When traveling to Rising Sun’s site offices, Rising Sun reimburses at the 2025 federal mileage rate
Mileage reimbursements will only be offered for driving done solely for work-related purposes. Note, that commuting between your home and office location does not qualify for reimbursement. Toll fees incurred as part of work travel are reimbursed.
