KEY ACCOUNTABILITIES
- Coordinate and complete regulatory, compliance, operational, and administrative matters as assigned by the HOD and/or Management.
- Manage and track regulatory licences, reports, filings, submissions, and documentation with relevant regulators and authorities, including KPKT, KPDN, MCMC, PDPA, and other applicable agencies.
- Prepare, maintain, and update accurate regulatory reports, statistics, trackers, records, and related documentation within required timelines.
- Manage operational documentation processes, including agreements, notices, reports, correspondence, DocuSign workflows, filing, safekeeping, and status monitoring.
- Liaise with internal departments, regulators, external stakeholders, and business partners on regulatory, compliance, documentation, and operational matters.
- Support internal workflow improvements, administrative coordination, compliance processes, and other duties as assigned by the HOD and/or Management.
JOB RESPONSIBILITIES
- To manage and coordinate the renewal, maintenance, and compliance requirements of regulatory licences, registrations, and submissions, including but not limited to matters relating to KPKT, KPDN, MCMC, PDPA, and other regulatory or governmental authorities.
- To prepare, coordinate, review, and monitor regulatory reports, submissions, declarations, statistics, and operational data required by regulators, authorities, management, and/or stakeholders, including Money Lending Post-Disbursement Reports, Early Settlement Reports, subscriber statistics, and 5G-related reporting.
- To conduct, coordinate, and support monitoring, audit, compliance review, and verification exercises to ensure adherence to internal policies, operational requirements, regulatory obligations, and management directives.
- To manage and coordinate operational, regulatory, and compliance-related documentation, including preparation, issuance, compilation, tracking, and safekeeping of notices, letters, reports, forms, agreements, and related supporting documents.
- To prepare and manage bulk operational exercises and partner-related processes, including Notices of Reminder, Notices of Termination, partner status updates, tracking exercises, and related operational coordination.
- To assist in the drafting, preparation, and review of letters, responses, submissions, reports, process flows, presentations, status updates, and other regulatory, operational, or compliance-related documentation using templates provided by the HOD.
- To support and coordinate DocuSign processes, execution tracking, documentation flow, status monitoring, and related administrative and operational matters.
- To manage filing, organisation, tracking, maintenance, and safekeeping of physical and electronic records, submissions, agreements, reports, and correspondence to ensure proper record management and audit readiness.
- To monitor, update, and maintain trackers, status reports, databases, portals, and operational records to ensure accuracy, completeness, and timely updates.
- To coordinate and manage correspondence, communication, and follow-up with regulators, authorities, internal stakeholders, external parties, and business partners with minimal supervision.
- To act as a key coordination point between departments and stakeholders for regulatory, operational, compliance, and documentation matters.
- To support process improvement initiatives, workflow coordination, operational administration, and implementation of internal procedures and compliance requirements.
- To assist in ad hoc investigations, operational reviews, compliance exercises, and special assignments as directed by the HOD and/or Management.
- To undertake any other duties, responsibilities, and assignments as may be instructed by the HOD and/or Management from time to time in relation to regulatory, compliance, operational, administrative, and coordination matters.
JOB REQUIREMENTS
- Candidate must possess at least a Diploma in Office Administration/Business Management equivalent.
- At least 3 years of working experience.
- Good spoken and written skills in English and Bahasa Malaysia.
- Good interpersonal and communication skills.
- Good analytical skills, organized, and committed to deadlines.
- Able to work independently as well as in a team-oriented culture.
- Able to multitask, be meticulous, and work under pressure.
- Must be computer literate.
