Role Description

This administrative operations role is responsible for managing office functions, coordinating daily administrative activities, and ensuring smooth workplace operations. Depending on seniority, the role may focus on execution support (Admin Executive), higher-level coordination and supervision (Senior Admin Executive), or full office operations leadership (Office Manager).

Key responsibilities typically include:

  • Managing day-to-day office administration and support activities
  • Coordinating meetings, schedules, travel arrangements, and company events
  • Handling correspondence, filing, records management, and documentation
  • Managing office supplies, procurement, and vendor coordination
  • Supporting management with reports, presentations, and administrative tasks
  • Overseeing reception, front desk, and office support staff (senior/manager level)
  • Monitoring office budgets, invoices, and expense records
  • Ensuring workplace facilities, maintenance, cleanliness, and safety standards
  • Improving office procedures, SOPs, and workflow efficiency
  • Supporting HR, finance, or operations teams with administrative coordination

Qualifications (Must-have)

  • Diploma or Bachelor’s degree in Business Administration, Management, or related field
  • 2–8+ years of experience in administration, office support, or office management
  • Strong organizational and multitasking abilities
  • Good communication and interpersonal skills
  • Proficiency in office tools such as Microsoft 365 or Google Workspace
  • Attention to detail and strong time management skills
  • Ability to handle confidential information professionally
  • Problem-solving mindset and service-oriented attitude

Preferred Qualifications

  • Experience supervising junior admin staff or reception teams
  • Familiarity with ERP / procurement systems such as SAP
  • Background in multinational companies, SMEs, or corporate HQ offices
  • Experience supporting senior management or C-suite executives
  • Knowledge of basic HR, payroll, or finance administration tasks
  • Certifications in office management or business administration
  • Event management or workplace relocation experience preferred
