We are looking for an Admin & Facilities Lead

Job Summary:

The Senior Administration and Facilities Manager is responsible for overseeing the daily operations of the administrative and facilities functions within an IT Services company. This role ensures the efficient and effective management of office services, maintenance, and safety protocols, while supporting the overall organizational goals and IT infrastructure needs.

Key Responsibilities:

Administrative Management:

Oversee office operations, including reception, mail distribution, and office supplies management.

Develop and implement administrative policies and procedures tailored to the needs of an IT environment.

Coordinate and manage company events, meetings, and conferences, including virtual meetings.

Maintain records and ensure compliance with company policies and legal regulations.

Facilities Management:

Manage the maintenance and repair of office facilities, including HVAC, plumbing, and electrical systems.

Ensure the cleanliness and safety of the office environment.

Coordinate with external vendors and service providers for facility-related services.

Oversee space planning and office layout changes, ensuring optimal use of space for IT equipment and workstations.

IT Infrastructure Support:

Collaborate with the IT department to ensure facilities support the technical infrastructure, including server rooms and network setups.

Assist in the management of IT assets and inventory.

Budget and Financial Management:

Prepare and manage the budget for administrative and facilities operations.

Monitor expenses and ensure cost-effective solutions.

Negotiate contracts with vendors and service providers.

Health and Safety:

Develop and implement health and safety policies and procedures.

Conduct regular safety inspections and drills.

Ensure compliance with OSHA and other regulatory requirements.

Team Collaboration:

Work closely with administrative and facilities staff to ensure smooth operations.

Provide guidance and support to team members.

Foster a positive and productive work environment.

Qualifications:

Bachelor’s degree in Business Administration, Facilities Management, or a related field.

Minimum of 8 years of experience in administration and facilities management, preferably in an IT services environment.

Strong organizational and multitasking skills.

Excellent communication and interpersonal skills.

Proficiency in Microsoft Office Suite and facilities management software.

Knowledge of health and safety regulations.

Preferred Qualifications:

Certification in Facilities Management (CFM) or related credentials.

Experience in budget management and financial planning.

Familiarity with IT infrastructure and asset management.

Ability to work independently and as part of a team
