Your Role
As an Admin & Finance Coordinator, you are responsible for:
Maintain financial records and ensure proper documentation of transactions
Assist in preparing financial reports, budgets, and forecasts for senior management on a weekly basis or as required
Process invoices, payments, and receipts in accordance with company policies, specifically Lookout, Monthly Private, Brokerage, and Potential insurance invoicing
Process payroll, ensuring accurate calculation of wages, superannuation, and entitlements
Maintain payroll records and ensure compliance with tax and employment laws
Assist with employee reimbursements and benefits processing
Provide support to HR regarding payroll-related inquiries
Maintain financial documentation and records in an organized and accessible manner
Assist with invoice matching to ensure accurate payment for goods and services
Communicate effectively with internal teams regarding financial matters as a first level of response, escalating where appropriate
Non-Negotiable Requirements:
At least 1 year or more experience in data entry, administration, and general accounting; preferably healthcare industry experience is a plus
Proficiency in MS Office Suite, particularly Excel, and any accounting software
Experience working with secure financial record systems, and an awareness of maintaining strong cyber security protocols
A diploma in Bookkeeping, Business Administration, or a related field or relevant experience
Soft Skills
Strong attention to detail and ability to enter high volumes of data with accuracy and minimal errors
Excellent organisational and time management abilities
Strong communication and interpersonal skills to liaise with diverse stakeholders
Ability to work independently and as part of a team
