POSITION OVERVIEW

Our company is looking for an organized and self-motivated office administrator, with experience in the construction industry, who will be responsible for providing administrative support for our team. The office administrator’s role will include working closely with our leadership team by handling clerical duties, bookkeeping, answering phone calls, etc.

In order to be successful in this position you should be detail-oriented, professional and have excellent written and verbal communication skills.

PRIMARY DUTIES AND RESPONSIBILITIES

Greet visitors and answer and direct phone calls on main office phone lines.

Maintain Quickbooks, ensuring all entries and reporting are kept current.

Prepare record keeping including invoice payment, check requests, expense reports and corporate credit card expense documents

Manage accounts receivable and accounts payable

Handle warehouse receivables.

Route invoices for approvals and payments; issue checks weekly.

Handle POs daily.

Prepare tax statements / payments.

Track and monitor projects and records costs; provide job cost reports regularly.

Act as fleet program manager, ensuring license plates, insurance, etc. is kept up to date on company vehicles.

Process construction drawings and files; prints off blue prints from PDF files.

Provide administrative support to construction project managers.

Send contracts, purchase orders, and change orders to subcontractors as needed.

Pull permits as needed.

Maintain and order office supplies.

Manage lien waivers.

Support some HR functions such as onboarding, payroll, open enrollment, etc. under the guidance of the Director of HR.

Perform other administrative support tasks as needed.

QUALIFICATION REQUIREMENTS:

Experience Required:

High School Diploma, GED, or equivalent; higher education preferred

2-3-years of administrative or accounting experience with another construction firm.

Must pass a criminal background check and drug test.

Skills and Knowledge Required

Proficient knowledge of Quickbooks

Proficient with all Microsoft Applications (Excel, Word and Outlook)

Strong administrative skills with high attention to detail

Ability to maintain confidentiality.

Ability to prioritize work schedule to maximize efficient time management with daily and specially requested tasks.

Ability to be self-motivated and to perform duties independently.

Excellent service orientation.

Excellent interpersonal skills and focus on serving others.

Good written and verbal communication skills.

Good command of the English language.

Ability to listen to and understand requests.

Ability to remain calm when working under pressure.

Good judgment and decision-making skills.

Demonstrate dependability, flexibility and teamwork.

Physical Requirements:

Must be able to sit at a desk for prolonged periods while working on a computer.

Must be able to lift up to 15 pounds at a time.
