POSITION SUMMARY: This role supports the Chief Medical Officer (CMO) team by performing a wide range of administrative and executive support duties. This role requires exceptional organizational, communication, and multitasking skills, with an emphasis on handling confidential and sensitive information. Responsibilities include managing complex calendars, coordinating travel and events, preparing reports and presentations, and facilitating communication across internal and external stakeholders.

Position is a full-time, on-site role located in Sebastopol, California.

RESPONSIBILITIES:

Act as the primary point of contact for internal and external communications, demonstrating professionalism and discretion.
Represent the organization to high-level stakeholders including public officials, regulatory agencies, healthcare executives, and clinical staff.
Proactively manage and coordinate the CMO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Organize and support meetings by preparing agendas, taking and distributing minutes, and following up on action items.
Track and manage key projects and deliverables to ensure timely completion.
Handle confidential and time-sensitive information with integrity and sound judgment.
Compose and prepare correspondence, reports, presentations, and other documents as needed.
Assist in planning and executing internal company events and leadership meetings.
Manage travel logistics and expense reporting for the CMO team.

REQUIREMENTS

Education:

Bachelor’s degree preferred.

Experience:

Minimum of 3 years of experience in an administrative support role, preferably supporting senior leadership.
Excellent verbal and written communication skills, with the ability to effectively interact with individuals at all levels of the organization.
Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including other executives, staff and board members.
Strong technical proficiency in software programs such as Microsoft Office (Outlook, Word, Excel, Publisher and Power Point), Adobe Suite, and web design software.
Strong project management skills to include an excellent track record of meeting deadlines and successfully managing administrative processes and projects.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Confidence in learning new technologies
Must have the ability to exercise good judgment in a variety of situations.
Self-starter who enjoys finding ways to improve things without direction
High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results

Job Type: Full-time

Pay: $28.00 – $33.00 per hour

Expected hours: 40 per week
