You are the first face many of our partners see, the ultimate "gatekeeper" of our workspace, and the logistical wizard who ensures our team has exactly what they need before they even know they need it.

Core Responsibilities1. The Gatekeeper & Guest Experience
- Primary Point of Contact: Act as the first point of contact for all visitors, partners, and guests at our Sukhumvit HQ.
- Facilitation: Manage the "front-of-house" experience—greeting guests with the premium standard of service synonymous with our brand and ensuring they are directed to the right team members.
- Security & Access: Monitor office access, manage visitor logs, and ensure that only authorized personnel are in secure areas.
- Communications: Filter and direct incoming calls and general inquiries, ensuring "noise" is managed so the executive team can focus.
2. Multi-Site Office Operations
- HQ Management: Oversee daily operations of the Sukhumvit HQ (cleanliness, maintenance, vendor management).
- Don Mueang Oversight: Perform weekly/bi-weekly site visits to our Don Mueang office to ensure operational standards are consistent across both bases.
- Space Planning: Coordinate meeting room schedules and ensure collaborative spaces are "audit-ready" at all times.
3. Inventory & Stock Tracking
- Asset Management: Implement and maintain a digital tracking system for all office assets, electronics, and furniture.
- Consumables: Manage stock levels for pantry supplies, stationery, and branded marketing collateral (merchandise). You prefer healthy snacks to processed junk food and help keep the pantry supplied accordingly
- Procurement: Liaise with suppliers to negotiate better rates and ensure timely delivery of essential items, staying strictly within the departmental budget.
4. Administrative Support
- Assist with local travel arrangements for the team when necessary.
- Coordinate internal team events, lunches, and "town hall" setups.
- Handle incoming/outgoing mail and high-priority courier shipments.
Requirements
What You Bring to the Table
- Experience: 3+ years in Office Management, Hospitality (Front Desk/Concierge), or Executive Assistance. Experience in a startup or aviation environment is a major plus.
- The "Gatekeeper" Persona: You are naturally polite but firm. You know how to manage a crowd and protect the team’s time without ever being rude.
- Organizational Prowess: You actually enjoy a good spreadsheet or inventory app. You hate seeing a "Low Stock" alert that wasn't planned for.
- Mobility: Comfortable commuting between Sukhumvit and Don Mueang as required.
- Communication: Fluent in Thai and highly proficient in English. You’ll be speaking with international partners and local vendors daily.
- Tech-Savvy: Proficient in Google Workspace (Sheets, Docs, Slides) and modern inventory management software.
