Administrative Specialist

The Administrative Specialist is responsible for supporting the project management team in ensuring the timely and accurate completion of projects. A successful candidate will have experience in contracts and budgets, with strong analytical and communication skills.
Responsibilities
Administrative:
Coordinate with Senior Administrative Specialist for office supplies and office cleaning.
Answer the phone/door.
Receive deliveries and notify the person the package belongs to.
Order safety supplies/uniforms for PM’s
Attend meetings as needed to record meeting minutes, etc.
Assist with administrative tasks as needed.
Order/pickup lunch when needed for meetings.
Run errands as needed.
Coordinate and plan group wide training and events.
Project Related:
Review and input data in Computer Ease for contracts, change orders, subcontracts, purchase orders, job costs, job starts, budgets.
Setup Project folders in SharePoint
Setup and maintain spreadsheets.
Update budgets to computer Ease when needed for change orders. Enter change orders for projects in Computer Ease.
Assist with requesting for COI’s/W9 from vendors/subcontractors.
Apply and maintain Tax Exempt applications when needed for projects.
Pull project related reports as needed.
Assist with Bond requests (send to Corporate Accounting Dept).
Setup Projects in Procore as needed.
Analyze and maintain project documentation to ensure compliance with project requirements.
Setup projects and clients in the Project Management Software and maintain project budgets as required by Project Managers.
Create and distribute closeout and warranty packages to PM’s. Closeout projects in Computer Ease.
Ensure compliance with company policies and procedures, as well as relevant laws and regulations.

Qualifications
Knowledge of construction contracts, and budgets.
Experience with Accounting systems and Project Management systems (Computer Ease and Procore preferred).
Competent in technical disciplines with a broad general knowledge of project management, construction and/or related fields.
Familiarity with client-specific contractual requirements.
Detail-oriented, with the ability to manage multiple tasks and projects simultaneously.
Microsoft Work, Microsoft Power point, Microsoft Excel.
