Primary Function
The Saint Luke’s UMC Office Manager is responsible for administering the business affairs of SLUMC.

Administering the business affairs of SLUMC is a key role in the body of Christ. This role works to enable the church to make disciples of Jesus Christ for the transformation of the world. Through this work, the office manager will assist that pastor, lay leaders, staff, and members of the church to carry out the work of ministry as well as serve as first contact with church members, visitors, tradespersons, vendors, and others who enter or call the church during the week.
Reports to: Lead Pastor, Pastor, and Staff Parish Relations Committee (S/PPRC) designee, & S/PPRC.
Desired Skills & Experience:
1. Must have excellent written and verbal communication skills and experience in computer/technology.
2. Possesses skills in organization and use of resources.
3. Thorough knowledge of Microsoft Office – including Word, Excel, PowerPoint, and Publisher.
4. Ability to use Realm for monthly Newsletters and Prayer Chain Updates.
5. Familiarity with online PhoneTree Systems.
6. Willingness to work in Realm Accounting Software.
7. Knowledge of or willingness to learn VAUMC Unity Web System.
8. A supportive attitude toward the United Methodist Church.
9. Church knowledge or experience working in a church is preferred.
10. Able to work autonomously.
11. Effective communication to lead pastor, staff, church volunteers, members, and the broader church community.
12. Knowledge of or willingness to learn OnRealm Church Management Software.
a. Set up Meetings in Realm, help Mark attendance for worship, etc. in Realm
13. Knowledge of or willingness to learn Instant Church Directory.
MAJOR RESPONSIBILITIES
Teamwork and Communication
1. To work collaboratively and communicate frequently with the pastor, choir director, children and youth director, other staff, and volunteers/committees necessary for administration.
2. To keep lines of communication open and bring concerns directly to the lead pastor.
3. Assist the Pastor in carrying out the church’s communication needs. This includes creating and assembling the newsletter, as well as sending out mailed and electronic communications as necessary.
4. Work with the Pastor to create weekly bulletins and special service bulletins as needed.
5. Responsible for greeting visitors at the church during the week.
6. Responsible for answering the phone during office hours & checking church voicemail.
7. Responsible for weekly mailing for bulletins/sermons and monthly newsletter mailing.
8. Responsible for sending out phone tree notifications as necessary.
9. Update communications via Sign, Website, Facebook, and email.
10. Maintain the church calendar.
Schedule building usage in consultation with the Pastor and/or Trustees if it is an outside group.
11. To meet at least once per year with S/PPRC.
Financial Management:
1. Record records of giving each week in Realm.
2. Enter income in Realm.
3. Enter bills in Realm as they are received.
4. Prepare checks for check signers.
5. Process Payroll for the church.
6. Collaborate with the chair of finance and treasurer to balance the books and prepare reports as needed for the church, district, and conference.
7. Assist the Pastor with year-end reporting.
Office Management:
1. Collaborate with the Trustees, Lead Pastor, and Administrative Board to manage all contracts essential for ongoing church operations.
2. Ensure that the necessary equipment and supplies for running the church office are in stock, and order supplies for the custodial staff (sexton) as needed.
3. Work with the Lead Pastor to order supplies as necessary.
4. Coordinate schedules for reserving the Sanctuary and Fellowship Hall in accordance with the building use policies.
1. Set the thermostats to coordinate with church events.
5. Keeping up with Membership records and updating the church directory.
6. Preparing the offering envelopes and the special offering envelopes.
7. Preparing Pew Cards as needed.
8. Post volunteer lists in the bulletin, newsletter, and on the website.
9. Assisting the Pastor with charge conference paperwork as necessary.
Supervision:
The S/PPRC oversees all personnel. The Pastor is the direct supervisor of the office manager. The office manager has the right to talk with the S/PPRC regarding issues relating to the church office management and her/his duties in relation to that ministry.
EVALUATION
In the first year of employment, the SPRC, in consultation with the Pastor, will conduct a 3-month review.
After the first year, an annual review will be held to evaluate the employee’s performance and level of improvement.
COMPENSATION AND LEAVE
Compensation & Hours
The Office Manager is a part-time position with no more than 28 hours per week.
We will reexamine the hourly requirements as needed.
Standard Office Hours are Monday-Friday 9 am to 1 pm.
The compensation is $23,400 per year.
Leave policy:
As the employer, Saint Luke’s United Methodist Church agrees to allow each year:
Twelve days of vacation time are granted for vacation leave. Eight days are available for sick leave. Leave must be taken in consultation with the Senior Pastor and the Staff/Pastor Parish Relations committee. Additionally, we grant up to five days of absence from work for Jury Duty. In the event the employee is excused from duty early or is not required to be present in court, they are expected to be on the job.
Additional leave without pay may be requested. Pay from the following pay period will be deducted. In all non-emergent requests for leave, the Pastor and the SPRC team must be notified no later than one month in advance of the start date of the planned leave. Every effort will be made to avoid the Pastor and Office Manager being absent at the same time.The Pastor will approve all requests and will notify the SPRC team. In the event of emergencies that necessitate taking leave, the employee is required to alert the Pastor and the SPRC team of their need as soon as is feasible. If the employee’s usage of leave exceeds the amount specified above, the Pastor, SPRC representative, SPRC team, or Leadership Board may jointly initiate a review of the employee’s position and ongoing needs, as well as the needs of the employer, to determine if further employment remains viable.
Any leave undertaken by the employee that is approved by the Pastor is considered excused. Any leave undertaken by the employee that is not approved by the Pastor is considered unexcused.
Holidays
Saint Luke’s UMC recognizes the following Holidays. As such, the church office will be closed on these days (in order of appointment year July-June.)
1. July Fourth
2. Labor Day
3. Wednesday, Thursday, and Friday of Thanksgiving Week.
4. The week between Christmas Day and New Year’s Day. Work resumes January 2.
5. Martin Luther King, Jr. Day
6. Good Friday and Easter Monday.
7. Memorial Day

Nature of Employment:
Employment at Saint Luke’s United Methodist Church (SLUMC) is at will and for an indefinite period of time, until terminated by SLUMC or the employee with or without cause. That means either party may end the employment relationship. This document is not a contract. No written or oral representation by SLUMC will create a contract of employment. SLUMC is entitled to modify, revoke, or replace any policies and procedures at any time without prior notice.

Employment Resignation and Termination:
For all employees, it is Saint Luke’s UMC’s policy that the employment relationship may be terminated at will, at any time and for any reason, by the employee or by SLUMC.
In cases of resignation, SLUMC requests that the employee provide four weeks’ advanced notice via a letter addressed to the Pastor and SPRC.
In cases of termination, Saint Luke’s UMC intends to provide employees with due notice of impending termination, but there may be times when advance notice is not possible or practical. Dismissal of an employee may be effective immediately, or at a future time, at the sole discretion of the SPRC.
Upon the conclusion of employment, employees will receive their final pay on the next regular payday. Employees are expected to return all property belonging to Saint Luke’s UMC no later than the date of the employment’s conclusion.
