Job Purpose:
The Executive Assistant at VITORI HEALTH LLC is responsible for providing high-level administrative support to the executive team. This role involves managing schedules, coordinating meetings, handling communications, and ensuring the smooth operation of daily activities. The Executive Assistant acts as a key liaison between executives and internal/external stakeholders, maintaining confidentiality and professionalism at all times.
Key Responsibilities:
Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Coordinate and facilitate meetings, conferences, and special events, including logistics and catering arrangements.
Serve as the primary point of contact for internal and external communications on behalf of the executive team.
Conduct research, compile data, and prepare reports for consideration and presentation by executives.
Maintain and update filing and database systems, ensuring accuracy and confidentiality.
Handle confidential information with discretion and maintain a high level of professionalism.
Assist in the preparation of meeting agendas, take minutes, and follow up on action items.
Support the executive team in project management tasks and other special projects as needed.
Build and maintain positive relationships with clients, partners, and stakeholders on behalf of the executive team.
Required Education:
Bachelor’s degree in Business Administration, Management, or a related field is preferred.
Required Experience:
Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
Proven experience in supporting senior executives and managing complex schedules.
Experience in handling confidential information with discretion and professionalism.
Prior experience in a healthcare or corporate environment is an advantage.
Required Skills and Abilities:
Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, with a keen attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
Ability to work independently and collaboratively in a fast-paced environment.
Demonstrated ability to anticipate needs and proactively address challenges.
Strong interpersonal skills with the ability to interact effectively with all levels of the organization.
