Mashallah Group is looking for Admin & Welfare Manager

Job Description / Responsibility

1. Strategic Operations & Facility Management

  • Administrative Oversight: Oversee all administrative operations, including office management, facilities, security, and logistics, to ensure seamless daily functioning.
  • Facility Maintenance: Manage the comprehensive maintenance of buildings, offices, hospital facilities, retail outlets, and staff accommodations.
  • Operational Efficiency: Maintain high standards of workplace discipline, cleanliness, and overall operational efficiency across all business units.
  • SOP Development: Design and implement Standard Operating Procedures (SOPs) for all administrative tasks to ensure consistency and professional excellence.

2. Statutory Compliance & Legal Liaison

  • Regulatory Compliance: Ensure full compliance with legal, health, and safety regulations, as well as industry-specific requirements.
  • Liaison Management: Act as the primary point of contact for government authorities regarding the issuance and renewal of Trade Licenses, Fire Licenses, and other necessary permits.
  • Legal Coordination: Coordinate with legal advisors to handle company documentation, contracts, and any legal disputes.

3. Financial Management & Procurement

  • Budgetary Control: Monitor and control administrative expenses; prepare and manage annual budgets to ensure cost-effectiveness.
  • Strategic Procurement: Manage vendors and service providers, ensuring the highest service quality while negotiating cost-efficient contracts.
  • Asset & Inventory Management: Maintain meticulous records of company assets and inventory, ensuring proper utilization and preventing loss or damage.

4. Logistics & Security

  • Transport & Fleet Management: Supervise transport operations, including vehicle maintenance, driver management, and strict fuel consumption control.
  • Security Framework: Lead and supervise security personnel and support teams to maintain a safe environment for employees, customers, and assets.
  • IT Infrastructure: Oversee the administration of IT support, CCTV surveillance, and the digitalization of physical records.

5. Employee Welfare & Human Resources Coordination

  • Welfare Programs: Design and implement employee welfare programs (e.g., canteen, medical assistance, and housing) to improve job satisfaction and productivity.
  • Inter-departmental Coordination: Work closely with the HR department and other business units to ensure smooth organizational operations.
  • Performance Monitoring: Supervise and evaluate the performance of administrative and support staff, identifying areas for training and development.

6. Crisis & Emergency Management

  • Incident Response: Handle emergencies, accidents, and crisis situations effectively by enforcing strict emergency protocols.
  • Risk Mitigation: Periodically assess operational risks and implement preventative measures to ensure business continuity.

Educational Requirements

  • Bachelor of Business Administration (BBA)

Additional certification in administration or facility management will be an advantage

  • Skills Required: Administration, Workers welfare

Experience Requirements

  • At least 5 year(s)
  • The applicants should have experience in the following business area(s):
  • Restaurant, Real Estate, Diagnostic Centre, Developer, Super store, Food (Packaged)
