Position- Admin, Facilities & Compliance Officer
Position Overview
The Admin, Facilities & Compliance Officer will be responsible for ensuring the smooth functioning of administrative operations, facility management, vendor coordination, statutory compliance, workplace safety, and employee support services. The role requires a proactive professional who can maintain an efficient, compliant, safe, and employee-friendly work environment while managing day-to-day administrative functions and organizational assets.
Key Responsibilities
1. Administration Management
- Oversee day-to-day administrative operations and office management activities.
- Maintain office infrastructure, assets, records, and documentation.
- Manage office supplies, stationery, housekeeping requirements, and inventory.
- Coordinate travel arrangements, accommodation bookings, and logistics for employees and visitors.
- Ensure effective functioning of office utilities and support services.
- Develop and implement administrative policies and standard operating procedures (SOPs).
2. Facilities Management
- Ensure smooth operation and maintenance of office premises and facilities.
- Coordinate preventive and corrective maintenance of electrical, HVAC, plumbing, internet, and other facility systems.
- Liaise with facility service providers and contractors for repairs and maintenance activities.
- Monitor workplace cleanliness, safety standards, and employee comfort.
- Manage office seating plans, workspace allocation, and facility expansion requirements.
- Conduct regular facility audits and inspections.
3. Compliance & Regulatory Management
- Ensure adherence to applicable statutory, labor, and local regulatory requirements.
- Maintain compliance records, licenses, registrations, and renewal schedules.
- Coordinate compliance audits and inspections by government authorities and external agencies.
- Support implementation and monitoring of organizational policies and compliance frameworks.
- Maintain documentation related to contracts, agreements, insurance policies, and statutory filings.
- Ensure proper maintenance of records for legal and regulatory purposes.
4. Vendor & Contract Management
- Identify, evaluate, and manage vendors for facility and administrative services.
- Negotiate contracts, service-level agreements (SLAs), and pricing with vendors.
- Monitor vendor performance and ensure timely delivery of services.
- Process vendor invoices and coordinate payment approvals.
- Maintain vendor databases and service agreements.
5. Health, Safety & Security
- Ensure implementation of workplace health and safety guidelines.
- Coordinate fire safety inspections, emergency preparedness drills, and evacuation procedures.
- Monitor security systems, visitor management processes, and access controls.
- Ensure compliance with workplace safety regulations and organizational safety policies.
- Act as a point of contact during emergency situations and facility-related incidents.
6. Asset & Inventory Management
- Maintain records of organizational assets and equipment.
- Conduct periodic asset verification and audits.
- Coordinate procurement, allocation, maintenance, and disposal of assets.
- Ensure proper tracking and utilization of office resources.
7. Employee Support Services
- Facilitate employee seating, workspace readiness, and onboarding logistics.
- Coordinate employee welfare initiatives and workplace engagement activities.
- Address administrative and facility-related employee concerns in a timely manner.
- Support organizational events, meetings, and internal programs.
Educational Qualifications
- Bachelor's degree in Business Administration, Operations Management, Facility Management, Commerce, or related discipline.
- Certification in Facility Management, Administration, Safety, Compliance, or Operations Management will be an added advantage.
Required Experience
- 4–5 years of experience in Administration, Facilities Management, Compliance, or Corporate Operations.
- Experience managing office facilities, vendor relationships, and statutory compliance requirements.
- Exposure to startup, corporate, research, incubation centre, or technology-driven environments will be preferred.
