Qatar Airways (QR) have embarked on an exciting transformation journey to change how we interact with our internal and external customers. As part of this journey, we are now recruiting for the role of Administration Assistant.

Based in Mayfair, you will provide five-star support to our stakeholders. You will be involved with administration activities including raising purchase orders, monitoring supplier performance, maintaining supplier lists, verifying invoices, keeping records and ensuring compliance with internal process is followed at all times.

Specific Accountabilities Include

Provide five-star customer service internal and external guests.

Help maintain workplace security and facilities by liaising with security and FM providers and helping them adhere to our policies and requirements.

Schedule appointments and manage meeting rooms’ bookings.

Liaise with IT provider, as well as HR for all new starters and leavers of UK offices. Adhere to internal procedures and ensure supplier complies with internal asset guidelines.

Coordinate with meeting organizers in the building and service providers to ensure seamless coordination for meetings. Ensuring facilities are prepared and equipment is available.

Responsible for ordering and distributing office supplies and maintaining inventory

Execute the Purchase order (PO) process ensuring compliance with Procurement Policy

Write business cases and raise CMC’s & QCAS (Internal QR systems) requests – training will be provided

Track supplier performance to ensure adherence to QR terms and conditions and meet user department timeframes. Assist with development of a preferred supplier list for relevant product categories.

Seek supplier’s costs and commercial terms for low to medium value goods and services.

Keep purchasing and contract records necessary for complying with audit requirements, up to date and accessible.

Interface with Contract & Legal Departments to ensure where appropriate that supplier agreements are in place.

Review all relevant invoices

Qualifications

Previous experience in a professional/multinational/airline/hospitality organization

Outstanding communication and organizational skills with a five-star service mentality

Advanced in MS Office applications

Fluency in English (written and spoken) is essential for this role. You must also have the right to live and work in the UK to be considered for this role.
