Role Description The Administration Assistant is a full-time, on-site role located in Bement, IL. This position supports daily office operations by managing incoming calls, greeting visitors, and routing inquiries to appropriate staff. Responsibilities include organizing and maintaining files, preparing and processing documents, scheduling appointments and meetings, and assisting with data entry and recordkeeping. The Administration Assistant will coordinate communication between clinical staff, residents, and families, ensuring accurate information flow and timely follow-up. This role also involves supporting executive and management staff with clerical tasks such as correspondence, basic reporting, and calendar management.
Qualifications

  • Strong Administrative Assistance and Clerical Skills to manage office tasks, documentation, and scheduling efficiently.
  • Excellent Phone Etiquette and Communication abilities for handling calls, greeting visitors, and interacting with residents, families, and staff.
  • Experience with Executive Administrative Assistance or similar support functions, including calendar coordination and basic reporting.
  • Proficiency with standard office software (e.g., word processing, spreadsheets, email) and comfort learning new systems.
  • Attention to detail, organizational skills, and the ability to prioritize multiple tasks in a healthcare environment.
  • Demonstrated reliability, professionalism, and respect for confidentiality and resident information.
  • High school diploma or equivalent; post-secondary training in office administration or healthcare administration is beneficial.
  • Prior experience in a nursing facility, medical office, or healthcare setting is preferred but not required.
