Salary: £13.25 per hour
We are seeking a reliable Part Time Administration Assistant to support and oversee with our office operations to ensure the business runs smoothly and efficiently, acting as the central support system for the business by managing administrative tasks, coordinating staff schedules, maintaining inventory and handling corporate communications. This role will be office based located in the HPS offices.

The successful candidate will assist with various administrative tasks, ensuring the smooth running of daily operations and maintaining effective communication within the team. The Key responsibilities will include:
Reception: Welcoming visitors, answering, and routing phone calls, and managing the main company email inbox.
Correspondence: Drafting memos, sorting mail, and preparing documents or presentations.
Inventory Management: Monitoring office supply levels and placing orders to restock essentials.
Scheduling: Coordinating meetings, booking conference rooms, and managing executive calendars.
Record Keeping: Organizing and maintaining digital and physical filing systems, ensuring data privacy.
Facility Coordination: Acting as primary contact for all office housekeeping, building maintenance, IT support, and office equipment servicing
- Managing incoming calls with professional phone etiquette and directing enquiries appropriately
- Organising and maintaining files, records, and documentation in both physical and digital formats
- Ensuring the office environment remains tidy and organised at all times
- Assisting team members with ad hoc administrative duties as required
- Oversee general office housekeeping duties
- Supporting with the monitoring of office stock and ordering whilst keeping track of budgets and inputting invoices on Xero for purchases.
- Monitor the office calendar and be responsible for meeting and greeting of all visitors
- Take responsibility for dealing with all deliveries
- Update sign in sheets on a weekly basis
- Support with managing and coordinating diaries- organising meetings as and when required
- Arrange travel and accommodation as and when required
- Processing of expense claim forms and chasing of invoices as and when required
- Support with organising PPE for new staff starters
- Minute meetings as and when required
- Review housekeeping contracts as and when required.
- Arrange and facilitate social activities and events.
- Any other related administration required.
Skills / Experience & Qualifications
Essential Requirements:
- Basic Education: GCSEs / Standard Grades or equivalent in English and Maths
- Previous experience in office/administration role
- Highly organised
- Office Software: High proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint)
- Time Management: Exceptional ability to multitask, prioritize conflicting deadlines, and work autonomously.
- Attention to Detail: Accuracy in tracking inventory, handling expense claims, and managing corporate calendars.
Desirable Requirements:
- Higher Education (Desirable): A-levels, a Level 3 Diploma in Business Administration, or a relevant bachelor's degree.
- Proven Administration Background: Typically, 2 or more years of experience working in a fast-paced corporate or general office environment.
- Meeting & Event Coordination: Past experience, setting up meetings, or organising corporate events.
- Customer/Client Facing Roles: Background in customer service where problem-solving and interpersonal skills are utilised.
