So, what will an Administrative Support Specialist at Terrestris do?
The Federal Retirement Thrift Investment Board (FRTIB) is an independent Federal Agency in the Executive branch created by the Federal Employees’ Retirement System Act of 1986 (FERSA) to administer the Thrift Savings Plan (TSP). As an Administrative Support Specialist, you will play a key role in ensuring the smooth operation of daily administrative processes and supporting mission-critical activities related to the Thrift Savings Plan (TSP), the retirement savings and investment plan for federal employees.
What does a typical day look like for the Administrative Support Specialist?
You will:
Receive and screen incoming telephone calls and visitors, determine the identity of the person and the nature of their contact, and determine which contacts must be (1) referred to the Director of the office in need of the services (“Director”), (2) should be referred to other staff or another organization, or (3) can be taken care of personally.
Invite customers to complete the administrative support survey to measure and check customer satisfaction.
Compile and organize essential information and materials for the Director in advance of appointments.
Receive, sort and keep a daily log of the tracking and distribution of all incoming mail to the office, decide which items can be managed personally, and send the rest with proper notations to the Director or other office staff as appropriate.
Arrange meetings and conferences for the Director with officials and other staff.
Notify participants, arrange meeting space, resolve logistical issues, and gather information and materials in advance of meetings.
Participate in meetings and record notes, attendance and minutes when asked.
Follow up after meetings to ensure that commitments and actions are met when asked.
Coordinate all travel arrangements for the Director, and other office staff as needed.
Establish and keep files for the office, including deciding the need for and extent of materials stored in office files.
Apply knowledge of personal computers and various software applications to carry out work activities, prepare written materials and presentations.
Review and distribute electronic messages, track action and suspense items, and keep databases and automated records.
Manage the administrative functions for the office, process purchase requests, requisitions, and subscriptions.
Maintain and order office supplies and equipment.
Perform timekeeping duties.
Coordinate and arrange telephone and equipment installation and repair.
Oversee office space and furniture issues.
Authorization to permanently work in the United States without sponsorship.
High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
3+ years of experience in a federal or professional administrative support role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., MS Teams, Zoom).
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to handle sensitive information with discretion.
Familiarity with federal agency operations and administrative procedures.
Experience supporting a federal agency, especially within financial or retirement systems.
Working knowledge of government travel systems (e.g., ConcurGov), procurement, and records management.
Familiarity with the Thrift Savings Plan (TSP) or retirement benefit systems.
