Job Title: Administrative Assistant/Operations Coordinator

Job Summary:

The Administrative Assistant/Operations Coordinator plays a vital role in ensuring the smooth daily operation of the office. This position is responsible for scheduling and coordinating routes, managing daily communication with drivers, and providing administrative support to the operations team. The ideal candidate is highly organized, proactive, and able to multitask in a fast-paced environment.

Key Responsibilities:

Routing & Scheduling: Oversee and manage daily route scheduling, ensuring efficiency and clear communication with drivers. Adjust schedules as needed and address any logistical challenges.
Driver Communication: Serve as the primary point of contact for drivers, relaying route details, handling inquiries, and resolving scheduling issues in a timely manner.
Office Management: Maintain office supplies, coordinate workflow, and ensure a clean and organized workspace.
Administrative Support: Assist various departments with data entry, report generation, and project coordination.
Communication: Handle incoming calls, emails, and other correspondence, ensuring timely and professional responses.
File Management: Maintain accurate and up-to-date physical and electronic records while ensuring confidentiality.
Customer Service: Greet visitors, assist clients, and respond to inquiries as needed.

Qualifications:

Education: High school diploma or equivalent required.
Experience: Previous experience in an administrative, logistics, or office support role is preferred. Experience in scheduling or dispatch coordination is a plus.
Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. Strong organizational, communication, multitasking, and problem-solving skills.
Attributes: Detail-oriented, proactive, problem solver, and able to work independently as well as part of a team. Ability to handle confidential information with discretion.

Job Type: Full-time

Pay: $22.00 – $25.00 per hour

Expected hours: 40 per week
