Job Summary:

This position reports directly to the Chief Investigator and performs specialized administrative work in educator misconduct investigations. The Investigative Unit (IU) Administrative Assistant is responsible for assisting the investigators with case work and other administrative duties. This position assists with the collection of investigative information, such as court documents, police reports and independent school district investigations. The IU Administrative Assistant will provide excellent customer service by phone, email, and in person.

This position may offer the ability to work remotely, within Arizona, based upon the department’s business needs and continual meeting of expected performance measures.

Job Duties:

Generate monthly National Association of State Directors of Teacher Education and Certification (NASDTEC) reports. Request all disciplinary records from relevant reporting agencies; follow up with non-responsive states, document all interaction and outcomes in the system to ensure all agencies are informed of disciplinary actions
Open, identify, and assign incoming cases from diverse sources such as, school districts, parents, law enforcement, and media, using the investigative case management software. Request follow-up documentation from school districts; order police reports, as needed; build hard copy case file for investigator
Provides assistance to all IU staff in troubleshooting basic IT/System issues; seeks efficiencies in utilizing the case management system by building templates that Investigators can utilize to generate unique letters and documents for each case, works with the Department of Education on teacher certification data system, as needed
Assist the Chief Investigator with maintaining calendars, scheduling approved time off and coordinating holiday work week schedules; also generates various reports for the IU
Creates spreadsheets to log Statement of Allegations and District Complaints, case assignments for investigators, DCS requests, police report, and any others requested
Conducts system audits to verify data consistency across the Board of Education, Department of Education, and NASDTEC to optimize workflow integration
Oversees the delegated inbox for emails and digital voicemails, ensuring timely responses or forwarding to the appropriate recipients
Provide disciplinary findings to the Chief for review and open any cases identified by the Chief from the matches

Familiar with the internal processes that govern applications for certification, disciplinary investigations and fingerprint clearance for education personnel
