About the Role:
We are looking for a highly organized, personable, and detail-oriented Administrative and Personal Assistant to support our team. As the first point of contact for clients, you’ll play a critical role in creating a welcoming experience and ensuring smooth communication between clients and case managers in a boutique mediation firm. You’ll also provide vital personal assistant support, helping to streamline daily operations.
Responsibilities:
Act as the first point of contact for incoming client inquiries via phone or email, recording key details and coordinating follow-ups with case managers.
Provide personal assistant support, including scheduling, organization, and administrative tasks.
Manage and maintain accurate client records and communications.
Send written communications (letters, invoices) to our clients.
Occasionally monitor messages on weekends.
Must-Have Qualifications:
Proven experience in administrative support or a similar role.
Exceptional attention to detail and organizational skills.
Ability to work independently with minimal supervision.
Proficiency with Zoom and other communication tools.
A personable demeanor, with the ability to build strong client relationships.
Experience working from home with a dedicated workspace.
Outstanding communication skills, both verbal and written.
Reliability and strong professional references.
Preferred Qualifications:
Warm and professional voice and presence.
Self-motivated and proactive approach to work.
