Front Desk/Admin Assistant is responsible for managing day-to-day office operations and provide administrative support to various departments.
Key Responsibilities
Answer and direct calls professionally.
Greet visitors, ensure visitors sign in/out of the visitor log, and verify they are escorted by an authorized individual.
Manage all incoming and outgoing mails, including scheduling, and coordinating USPS, UPS, FedEx deliveries and pickups
Order, organize and maintain office supplies for the corporate office, track purchase orders as needed.
Coordinate travel arrangements for employees and guests, including transportation and lodging accommodations.
Process hotel billing and reconcile invoices against card transactions.
Assist corporate office employees with meetings scheduling and various administrative tasks as needed.
Generate and maintain reports and records daily office activities to support operations.
Provides administrative and ad hoc support to various departments as needed.
Maintain confidentiality and handle sensitive data and documents with discretion and professionalism.
Other duties as assigned.
Required Knowledge Skills and Abilities
Strong verbal and written communication skills
Customer service orientated
Proficiency in MS Office
Attention to detail with strong organizational skills
High level of discretion and confidentiality
Ability to be a productive team member in both formal and informal settings
Education & Experience:
High school diploma or equivalent (associate degree in business administration or related field preferred)
2+ years of experience in an administrative, office assistant, front desk role
Experience handling travel arrangements and reconciliations are a plus
Working Environment:
This job operates at a fast pace in a corporate office environment. This role routinely uses standard office equipment.
