BRUCH & BRUCH CONSTRUCTION, INC. is looking for a Full-Time Office Administrator and Accounts Payable Clerk

An office administrator is responsible for management of day-to-day communications, administrative support, office and facility operations, basic HR support, federal and state compliance, file management and event planning to ensure the smooth operation of the office.

Accounts payable professionals are responsible for all accounting work necessary to insure vendor and supplier accounts are processed in a timely and efficient manner.

Office Administrator – Essential Duties and Responsibilities:

Communication– customer service, first point of contact (in-person & phones), greet guests, direct vendors and customers to appropriate personnel or department, mail and package handling (PO Box – incoming/outgoing), postage meter, phone systems and accounts
Administrative support – internal department coordination and assistance, periodic scale attendant, liaison with external vendor and service providers and other general accounting tasks and projects as assigned
Office & Facility Operations – phone systems and accounts, postage meter, copier/scanner, maintenance contact, cleaning, supplies (monitoring and procurement)
Federal, State and other Agency Reporting and Compliance (USDOT, WSDOT, Heavy Highway Use Tax, Sam.gov, ORCAA, MSHA, Vehicle Licensing and Tonnage and sub-contractor insurance monitoring
Basic HR support – assist with onboarding new employees
File Management – physical & digital documents and records, copying, scanning and archiving
Event Planning – scheduling and preparations of meetings, trainings and company events

Accounts Payable Clerk – Essential Duties and Responsibilities:

Maintain vendor records and terms
Reconciliation of general ledger accounts
Ensure invoices are coded and entered properly
Product monitoring and quoted price verification
Reconcile statement to invoices
Resolve invoice discrepancies
Prepare and Process Weekly Payments
Issue 1099s annually
Sub-Contractor Compliance

Required Skills:

Accounting Background
Proficient in Microsoft Office Suite
Accounting Software
Current Driver’s License
Attention to detail and ability to prioritize tasks
Ability to independently problem-solving/decision making and work as a team

Preferred Experience:

Construction Background
