Job Description

We seek a highly skilled Senior Administrative Specialist to support our leadership team critically. This role requires a dynamic individual who thrives in a fast-paced environment, adeptly managing administrative responsibilities while contributing to organizational efficiency. The ideal candidate will possess exceptional organizational and problem-solving skills; and the ability to work seamlessly with various personalities.

*This is a Hybrid position onsite 2-3 days a week in Washington, D.C., with the likelihood of eventually being onsite full-time based on contractual obligations*

Responsibilities:

Executive Administrative Support:
Manage executive calendars, coordinate complex meeting schedules, and organize travel arrangements.
Oversee email and mailbox management, prioritizing tasks and ensuring timely follow-up on key communications.
Prepare, proofread, and edit correspondence, presentations, and reports with accuracy and professionalism.
Maintain and organize physical and digital filing systems to ensure accessibility and security.
Collaboration and Communication:
Act as a liaison between leadership, staff, and external stakeholders, ensuring clear and effective communication.
Facilitate and participate in planning sessions, offering insights and contributing to action-oriented outcomes.
Build strong relationships across diverse teams and personalities, fostering a positive and collaborative work environment.
Adaptability and Problem-Solving:
Demonstrate flexibility in managing shifting priorities and adapting to new challenges.
Approach high-pressure situations with creativity, resilience, and a solutions-oriented mindset.
Maintain a sense of humor and positivity while navigating complex tasks and deadlines.
Technical Proficiency:
Utilize advanced office tools (e.g., Microsoft Office Suite, project management software) to enhance efficiency and productivity.
Operate and troubleshoot common office equipment to ensure seamless operations.

Minimum Qualifications:

Bachelor’s Degree
A minimum of 4 years of professional experience in administrative roles.
Extensive experience in administrative roles supporting senior leadership.
Strong analytical skills and a proven ability to identify and implement process improvements.
Exceptional interpersonal and communication skills, capable of working with diverse personalities in dynamic environments.
Advanced proficiency in Microsoft Office Suite and related productivity tools.
Demonstrated ability to manage multiple priorities accurately, professionally, and efficiently.

Preferred Qualifications:

Advanced skills in the use of computer software office tools, including email, word processing, spreadsheets, and presentation software.
Expertise in prioritizing tasks, managing schedules, and maintaining order in fast-moving environments
Previous experience in a government contracting environment, preferably with the Department of Veterans Affairs.
Strong customer relations skills and the confidence to interact with senior-level Government, client, and contractor personnel.
Proficiency in operating and maintaining common office equipment like fax machines, copiers, projectors, and PC printers.

Eligibility:

Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.
Must be able to obtain and maintain the required federal public trust clearance for this role.

Compensation:

Salary for this position is determined by various factors, including but not limited to, location, the candidate’s particular combination of knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements.

The proposed salary range for this position is between $55,000 and $70,000.
