POSITION OVERVIEW
The Office Coordinator is a fully onsite role that is the hub of day-to-day operations, ensuring everything runs smoothly, efficiently, and with exceptional attention to detail. This role provides critical administrative and logistical support to our team and clients, acting as the first point of contact and the behind-the-scenes force that keeps our office productive and welcoming. This role demands initiative, precision, and a proactive mindset to support our team and clients at the highest level.
From coordinating in-office events and maintaining essential records to managing supplies and crafting client-ready spaces, your impact will be felt across the entire organization. This role is for you if you:

KEY RESPONSIBILITIES:
● Open and prepare the office daily to ensure a client and team-ready environment.
● Manage the front desk: promptly answer calls, direct inquiries, and relay messages.
● Greet clients, team members, and visitors with warmth and professionalism.
● Set up and support client meetings, including materials, refreshments, and room prep.
● Maintain a clean, organized, and professional office that reflects Gerber’s standards.
● Oversee shared spaces (conference rooms, kitchen, supply areas) to ensure cleanliness and readiness.
● Monitor and manage office supply inventory to ensure availability without overstocking.
● Address minor facility issues and escalate larger concerns appropriately.
● Handle incoming/outgoing mail, shipping, and deliveries.
● Run local errands as needed to support office operations.
● Support team and client events: logistics, scheduling, catering, setup, and cleanup.
● Help craft personalized client touchpoints and ensure timely delivery via our platforms.
● Celebrate and recognize team milestones with thoughtful gifts and shared celebrations.
● Collaborate with team members to curate and share our monthly newsletter, reflecting the voice and values of the firm
● Review and route qualified inbound website inquiries; filter out spam.
● Assist with internal projects and special assignments, showing initiative and follow-through.
● Perform accurate data entry, proofreading, and document formatting.
● Provide daily support to team members across departments.
● Represent the Gerber brand with professionalism and courtesy.
● Complete additional tasks or projects as assigned.
EXPERIENCE AND SKILLS YOU BRING
● 3 – 5 years prior administrative, office support or hospitality experience a plus
● Good working knowledge of Microsoft Office (Word, Excel, PowerPoint)
● Strong communication skills; effective, clear, and concise
● Excellent attention to detail
● A dependable, punctual, can-do attitude
● Ability to run errands within a 10-mile radius of the office building (valid Driver’s License and reliable vehicle required)
● Flexibility to occasionally support evening events.
● Ability to lift 25 pounds.
