Administrative Assistant

The Administrative Assistant is an essential member of the Development Team that will be responsible for providing essential administrative support and project coordination for the Chief Development Officer, as well as support for Executive Office projects including strategic planning, Board of Trustee relations, meeting logistics, etc. Acting as the first point of contact for both internal and external visitors, inquiries, and requests directed to the Chief Development Officer, this role requires a blend of administrative and communication skills, as well as a passion for the arts and culture of New York City.

This is a full-time, onsite, in-person regular position that reports directly to the Chief Development Officer, that also works closely with the Museum’s Chief of Staff and Strategy and Executive Office Manager.

Roles and Responsibilities:

Serve as the main administrative support for the Chief Development Officer, including answering phones, scheduling meetings, drafting memos, preparing briefings, invoicing, greeting guests, reconciling and submitting financial invoices, etc.
Provide administrative support to the Chief of Staff and Strategy and Executive Office Manager as needed, including in the preparation for meetings of the Board of Trustees.
Assist in the preparation and maintenance of Board related materials, including confidential communications.
Assist with administration related to strategic planning, including scheduling meetings, preparing briefings, and taking notes.
Ensure accurate and timely entries of the President’s, Chief Development Officer’s, and Chief of Staff and Strategy’s actions and contact lists into the Museum’s CRM system, Altru.
Receive and sort the mail on a daily basis.
Other duties as assigned.

A successful candidate will have:

Bachelor’s Degree or 3+ years of full-time administrative experience.
Exceptional organizational abilities and attention to detail.
Ability to prioritize tasks and work accurately to meet deadlines, both individually and as a part of a team.
Excellent writing and interpersonal communication skills.
Strong judgement and discretion.
Fluency with Microsoft Office platforms (including Outlook, Word, Excel, and Power Point).
Experience in CRM systems preferred.
Ability to work occasional evenings and weekends as needed.

Physical Requirements & Work Environment

This position requires full-time, in-person attendance for the work week. Our work week is Monday through Friday. Weekend and evening work may be required to support special events as needed. On occasion, the employee may be required to work outside events with weather conditions including heat and cold. Travel within the five boroughs may be required.

This role requires being stationary for 75% of the time and navigating office and Museum environments. Proficiency in operating office equipment and strong visual acuity (close, distance, color, and peripheral vision) is necessary for tasks like data analysis and computer use. Travel within the five boroughs may be required.

The annual salary for this position is $50,000. The position offers a competitive benefits package including medical, dental, vision, FSA, HSA, life insurance, 401K and a defined benefit pension plan, short and long-term disability, and an Employee Assistance Program, with options for critical illness insurance, accident insurance, legal services, and pet insurance. The Museum provides a paid time off policy that includes 10 days of annual leave, rising to 15 days in year 2, and to 20 days in year 3, plus 12 sick days per year and 12 holidays.
